Job Description
Office Support
General
• \tReceptionist support (attending phone calls, attending to guest/ visitors/ vendors)
• \tCourier arrangement (local and overseas)
• \tOffice maintenance (cleanliness, neatness, lightbulb replacement etc)
• \tChecking mailbox
• \tProviding general administrative support to all, eg. Copying, binding, filing, shredding, scanning, loan of PC, etc and any other adhoc administrative duties
• \tRunning errands to post office, banks, law firms etc at ad-hoc basis.
• \tMonitoring and coordination of office operations like stationeries, pantry items, water dispenser, copier cartridge order
• \tOffice purchases (adhoc if any, to involve with sourcing vendors/ negotiation/ quotation)
• \tAttending servicing request (eg. renewal of fire extinguisher)
• \tAttending building maintenance matter (i.e. fire drill)
• \tArrangement of office cleanliness service (routine cleaning service, disinfection service, pest control etc)
• \tSupport the office renovation job
• \tOther adhoc office general related job (IT related admin support etc.)
Travel Arrangements
• \tAssisting other team members in booking of flights/hotels/ transfer
• \tAssisting other team members for timely processing of expense claims
Secretarial Work
• \tSupport for pre-meeting arrangement (i.e. meeting room booking, conference call ID, etc)
• \tSupport for event arrangement (i.e. lunch, birthday, dinner etc and any other adhoc reservation request)
• \tSupport team members in handling the expenses/claims, calendar scheduling on appointments & meetings, running ad-hoc duties/errands for senior managements (mostly for CEOs)
Support Admin Team for accounting/compliance/disbursement/HR
Accounting
• \tPreparations of cheque payment to vendors and updating checklist for Cheque Payments in excel sheet.
• \tHandling of cash and cheque deposits into bank to meet accounts submission
• \tUpdating of all disbursements expenses into Disbursement Checklist
• \tOther accounting related support for the team members (Remittance related admin support etc.)
HR
• \tPreparation for All New Employees and Leaving Employees:-
• \tApplication / Termination for Secom Security card, Tenant Card
• \tCoordination of information for printing of name cards
• \tPrepare stationery, office equipment, etc
• \tArrange for hotel and housing whenever necessary
• \tOrientation on office environment (cabinet allocation, stationery, pantry, meeting rooms, office equipments, washrooms, etc)
Others
• \tProviding support for any other administrative duties for team members
