Key Responsibilities:
- Front Desk Management:
Greet and welcome parents, children, and visitors in a friendly and professional manner.
Answer, screen, and forward incoming phone calls, taking messages as necessary.
Manage the school's general inquiry email inbox and respond promptly or direct emails to the appropriate staff member.
Maintain a tidy and organized reception area.
Manage incoming and outgoing mail and deliveries. - Administrative Support:
Assist with student enrollment procedures, including distributing and collecting application forms.
Maintain and update student and parent records accurately and confidentially.
Schedule appointments for parents with teachers or the principal.
Assist with preparing school newsletters, announcements, and other communications.
Manage school supplies inventory and place orders as needed.
Handle basic invoicing and payment collection for school fees or activities, if required.
Assist with organizing school events, excursions, and activities.
Prepare and maintain various reports and documents as requested. - Communication & Coordination:
Liaise with teachers, parents, and external vendors.
Communicate important school announcements or updates to parents.
Assist in coordinating parent-teacher meetings.
Handle parent inquiries and concerns efficiently, escalating to appropriate personnel when necessary. - Safety & Security:
Monitor visitor access and maintain visitor logs.
Ensure adherence to school security protocols, especially regarding student pick-up and drop-off.
Assist in emergency procedures (e.g., fire drills, evacuations).
Requirements:
- Education: Minimum GCE 'O' Levels or equivalent. A Diploma in Early Childhood Care & Education, Office Administration, or a related field is a plus.
- Experience:
At least 1-2 years of experience in a front desk, administrative, or customer service role, preferably in an educational setting.
Experience working with young children and parents is highly advantageous. - Skills:
Excellent verbal and written communication skills in English (proficiency in other local languages like Mandarin, Malay, or Tamil may be an advantage for interacting with diverse parents).
Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational and multitasking abilities with attention to detail.
Professional and friendly demeanor with strong interpersonal skills.
Ability to work independently and as part of a team.
Problem-solving skills and ability to handle various situations calmly and effectively.
Familiarity with school management software systems is a plus. - Personal Attributes:
