- Daily finance operation
- Maintain complete and accurate full sets of accounts in compliance with internal policies, the Charities Accounting Standard, and Singapore Financial Reporting Standards (SFRS).
- Ensure timely month-end and year-end closings
- Support the development of annual budget, financial forecasts and monitor closely cashflow to facilitate sound financial planning.
- Manage payment processing, inventory control, and fixed asset tracking.
- Process, reconcile, and submit donation income from various payment platforms, including timely IRAS tax portal filings.
- Maintain accurate records and documentation for all donations and funding disbursements, including in-kind contributions, banking, and receipt issuance.
- Coordinate and support audits-including statutory, internal control, compliance, and donor audits.
- Manage and address donation and grant-related matters, including handling queries, overseeing donation boxes and secure collections, supporting funding-related audits, and providing sound financial advice on donations, grants, procurement, and expenditure.
Grant Management
- Monitor grant utilization and ensure compliance with funder guidelines and reporting requirements with proper documentation
- Provide quarterly updates of the grant utilization's statement of accounts to the stakeholders
Corporate Compliance
- Provide administrative (including minutes writing) and analytical support to both the Audit & Risk Committee and the Investment Committee.
- Assist in reviewing and maintaining the Risk Register and internal control frameworks and conduct preliminary internal audits to identify potential risks and control gaps
- Assist in compliance with corporate governances such as Code of Governance for Charities & IPCs, and Anti-Money Laundering and Countering the Financing of Terrorism (AMLCFT).
- Support the review and improvement of financial policies and standard operating procedures (SOPs) to ensure compliance with regulatory standards and alignment with industry best practices
- Assist in maintaining and updating records on the Charity Portal as well as with various government departments and relevant agencies, including but not limited to annual submissions, updates of key personnel and management details, IPC renewals, and other statutory or compliance-related requirements.
Financial Administration
- Assist with banking operations, including updating bank signatories and managing the placement and renewal of fixed deposits.
- Participate in the organization's digitization initiatives, including process improvements within the finance department.
- Maintain comprehensive records of contracts, agreements, licences, and financial documentation to ensure readiness for audits and compliance reviews
- Provide support for any ad-hoc duties or special projects as assigned by the Head of Finance & Administration.
Requirements
- Degree in Accounting, or equivalent professional qualifications (e.g., ACCA).
- At least 5 years of relevant experience, with a minimum of 2 years in a supervisory or similar capacity.
- Solid foundation in accounting and financial governance, particularly in the non-profit context.
- Strong working knowledge of Singapore Financial Reporting Standards (SFRS) and preferred to have at least Charities Accounting Standard
- Proficient in Microsoft Office and ERP/accounting systems (such as XERO, Quickbook etc)
- Highly organized, meticulous, and detail-oriented.
- Proactive and analytical, with strong problem-solving abilities.
- Capable of managing multiple priorities under tight deadlines.
- A collaborative team player with the ability to interact effectively across all organizational levels.
