Overview
We are seeking a highly organised and proactive professional to support the Executive Director in driving strategic priorities, managing executive operations, and coordinating high-level projects and communications. This role is ideal for individuals with strong administrative and strategic coordination experience, particularly within healthcare, academic, or public sector environments.

What you'll be doing
  • Provide full executive support including complex calendar scheduling, travel arrangements, and meeting preparation
  • Act as the primary liaison for the Director, handling internal and external correspondence with professionalism and discretion
  • Manage daily operations of the Executive Office and ensure seamless coordination with department leaders and senior managers
  • Coordinate and support strategic initiatives, monitor progress of key projects, and ensure timely follow-through on action items
  • Prepare briefing notes, presentations, reports, dashboards, and talking points for internal and external engagements
  • Draft, review, and manage internal communications aligned with organisational priorities and leadership direction
  • Facilitate leadership-level meetings, capturing decisions and ensuring timely execution of follow-ups
  • Lead and support special projects and events, working closely with cross-functional teams to achieve key outcomes
  • Monitor institutional performance indicators and assist in preparing reports for senior management, board, or ministry-level stakeholders
  • Support stakeholder engagement efforts including donor relations, academic and government partnerships
  • Identify opportunities to improve internal processes and support change management initiatives
  • Undertake additional duties and contribute flexibly to Executive Office priorities as required


What we're looking for
  • Bachelor Degree in Business Administration/ Communications/ Healthcare Management or related studies
  • 6 - 10 years of experience in executive support, strategic planning, or project coordination, preferably within healthcare setting
  • Excellent communication, writing, and interpersonal skills
  • Highly organised with strong attention to detail and the ability to manage multiple priorities
  • Professionalism, discretion, and the ability to work effectively with senior leadership and diverse stakeholders
  • Proficiency in Microsoft Office and experience in preparing executive-level reports and presentations
