Role Overview: We are seeking a highly organized and proactive Administrative Assistant to support the Chief Brand Officer in daily operations, project coordination, and brand initiatives. This role is pivotal in ensuring the smooth functioning of branding, marketing, and event activities. You will be supporting and working alongside the Project Coordinator & Secretariat lead in managing schedules, preparation of materials, liaise with internal and external stakeholders, and keep projects moving efficiently.

Key Responsibilities
General Administrative Support
- Provide day-to-day administrative assistance to the Chief Brand Officer, including document preparation, meeting coordination, and calendar management.
- Manage filing systems and ensure all documentation (e.g. purchase requests, vendor contracts, claims) is accurately maintained and tracked from submission to approval and payout.
- Coordinate internal meetings, vendor discussions, and team briefings, ensuring timely reminders, agendas, and follow-ups.
- Oversee administrative onboarding for new team members, including the procurement of name cards, access passes, welcome kits, and other essentials.
Inventory & Collateral Management
- Track and manage inventory for office supplies, marketing materials, and event-related assets across showrooms and event spaces.
- Proactively flag low stock levels and coordinate restocking or production of materials in a timely manner.
- Maintain a tidy and systemized storage area for efficient access to event and marketing resources.
Vendor & Procurement Coordination
- Liaise with external vendors to source quotations, place orders, and confirm specifications for marketing, branding, and event materials.
- Coordinate the delivery or collection of items between vendors, showrooms, and event locations, ensuring timely execution and quality control.
- Maintain thorough documentation of all vendor interactions, purchase orders, and project timelines for accountability and reporting.
Project & Cross-Departmental Support
- Support branding, events, marketing, and F&B teams with administrative needs across ongoing projects and campaigns.
- Assist with the preparation of proposals and decks for mall developers, event partners, and sponsorship opportunities.
- Be adaptable and proactive in taking on ad-hoc tasks assigned by the Chief Brand Officer or management, especially during major events or launches.
Qualifications:
- 1-2 years of admin, logistics or marketing support experience preferred.
- Proven experience in an administrative role, preferably within the automotive industry.
- Proficiency in Microsoft Office Suite and office management software.
- Basic understanding of bookkeeping principles and familiarity with accounting software is an advantage.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively.
- Attention to detail and problem-solving skills.
