The role
We are seeking an experienced and highly organized Executive Assistant to support the CEO, Deputy CEO, and Chairperson (as needed) of our non-profit organization. This role is crucial in managing complex scheduling, coordinating board and committee meetings, taking minutes, and handling private and confidential materials. The ideal candidate will be tech-savvy, have experience with corporate minutes taking, and possess some understanding of accounting and compliance.
Key Responsibilities
• Manage complex scheduling and calendar management for the CEO and DCEO, including coordination of meetings and events.
• Organize and facilitate board and committee meetings, including preparing agendas, meeting materials, and taking detailed minutes.
• Handle private and confidential materials with the utmost discretion and professionalism.
• Support the CEO and DCEO in their daily tasks. Ensure efficient office operations and timelines are adhered to.
• Support accurate processing and archiving of information, messages, invitations and related materials.
• Maintain accurate Board & Committee Meeting minutes and ensure compliance with governing regulations and organizational policies.
• Act as a liaison between the CEO, DCEO, Chairperson, board members, and other stakeholders.
• Perform other administrative duties as required to support the Chairperson and DCEO.
Qualifications and Skills
• Bachelor's degree in Business Administration, Management, Accounting or a related field preferred.
• Prior experience as an executive assistant, preferably in a non-profit or charitable organization.
• Proven experience in handling complex scheduling and calendar management, need to have an iron grip on the calendars of the senior leadership to ensure the team aren't overwhelmed.
• Strong organizational skills, with the ability to multitask and prioritize effectively.
• Excellent written and verbal communication skills.
• Tech-savvy with proficiency in Microsoft Office Suite.
• Experience in minutes taking and understanding of non-profit governance.
• Understands accounting principles and compliance framework.
• Ability to handle private and confidential information with discretion.
• Strong interpersonal skills and the ability to work collaboratively with diverse stakeholders.
Preferred Skills
• Experience in handling charity and board committee operations.
• Strong interpersonal skills and the ability to work collaboratively with diverse stakeholders.
