The Assistant Manager plays a key role in advancing the Institute of Advanced Studies (IAS) frontiers research programs and event management while supporting the planning, development, and oversight of its operations and activities. Science at the highest level is the hallmark of the distinctive university-based IAS. The Institute fosters collaborations with world-class scholars and thought leaders, promoting interdisciplinary exchange and inspiring the next generation of STEM students to become global leaders in science and technology. The role of the Assistant Manager involves active engagement and strategic collaboration with internal and external stakeholders to enhance outreach and maximise impact. Hence, the incumbent will play a key part in shaping and maintaining the Institute's image and reputation.

Key Responsibilities
- Manage and oversee the logistics of the full spectrum of IAS' activities including frontiers research conferences, Lee Kong Chian Distinguished Professor Public Lectures, international workshops and seminars
- Plan and coordinate visits for eminent professors, promising young visiting scientists and postdoc fellows, while developing programs to enhance their engagement with the NTU community
- Establish partnership with academic networks and relevant stakeholders to broaden outreach and impact
- Conduct periodic reviews of event formats, processes and guests engagement strategies Manage the copywriting and editing for IAS publications
- Develop and implement targeted promotion strategies to maximise IAS' events visibility and participation
- Conceptualise and manage engaging content for the IAS events website and social media
- Manage procurement, reimbursement and accounting activities
- Prepare official minutes, letters and correspondences
- Design and implement structured feedback mechanisms to assess event impact, attendee engagement and overall success
- Prepare post-event reports and analyze key metrics, such as attendance, engagement and qualitative feedback
- Leverage digital tools to optimise event reach and engagement
- Manage and support ad-hoc projects and responsibilities
- Ensure all IAS' activities and operations are carried out in line with NTU's guidelines
Competencies and Qualification Requirements
- A recognised degree in Science or Engineering or equivalent and with at least 4 years of relevant administrative experience
- Positive working attitude, excellent interpersonal relationship skills and strong communication skills
- Proficiency in Microsoft Office Suite applications and graphic design skills
- A service-oriented mindset and ability to multi-task
- An effective team member with good self-management skills
- Strong organisational and problem-solving skills.
- Analytical, meticulous and can handle sensitive information with confidentiality and professionalism.
