Senior Executive / Assistant Manager, Teaching Support Laboratory
School of Physical and Mathematical Sciences seek to hire the position of Senior Executive / Assistant Manager, Teaching Support Laboratory.

This position is required to report to Senior Assistant Manager. The incumbent is responsible for overseeing the management and operations of the Mechanical Workshop, supporting the cryogenic facility management and other measurement labs within the Physics & Applied Physics (PAP) division of School of Physical and Mathematical Sciences (SPMS). Additionally, this role will be involving managing teaching labs outreach projects, maintaining the Division's Assets Management System, and providing timely assistance and support in other administrative duties as needed.

Teaching Support Laboratories Management

1. Technical support management:
  • Mechanical Workshop
    • Oversee daily operations, ensuring organization, cleanliness, and safety at all times.
    • Develop, implement, and update workshop policies, procedures, and best practices.
    • Ensure all machinery and tools are properly maintained and in working condition.
    • Schedule and oversee routine maintenance and repairs.
    • Provide technical support and expertise to students and researchers.
    • Create drawings using Mastercam Software and convert them to NC Programming (Numerical Control Programming) for CNC machines, CNC Lathe Machines, and CNC Machining centers based on faculty, research staff, or student requirements.
    • Assist in the design and development of mechanical systems and components.
    • Conduct feasibility studies and provide technical recommendations.
    • Manage inventory of tools, materials, and supplies to support operations.
  • Cryogenic Facility Management
    • Collaborate with teammates to manage and coordinate the helium re-liquefaction plant to meet liquid helium demands from teaching and research teams.
    • Manage and maintain the division's liquid nitrogen facility to support the whole school.
    • Manage complex measurement systems such as the Physical Property Measurement System (PPMS), Magnetic Property Measurement System (MPMS), and High resolution XRD (HR-XRD).
    • Provide training on cryogenic handling to graduates and researchers.
    • Develop and enhance user guides and safety protocols for cryogenic facilities.


2. Outreach Projects Management:
  • Lead and manage outreach initiatives designed to enhance the understanding and appreciation of physics among diverse audiences
  • Develop and oversee hands-on experiments, demonstrations, and interactive activities
  • Work with faculty and staff to align outreach initiatives with the university's curriculum and research objectives.
  • Plan and conduct workshop and lab tours for visitors.
  • Create and distribute promotional materials, including flyers, newsletters, and social media content, to highlight outreach programs.
  • Collect and analyse feedback to assess the impact of outreach activities and improve future programs.


Division Assets Management
  • Update and maintain Fixed Assets/Inventorized Assets records to ensure timely and accurate information.
  • Ensure accuracy and completeness of all fixed and inventorized asset tags.
  • Manage asset disposals/transfers in compliance with NTU guidelines.
  • Conduct annual asset sighting and confirmation for audit purposes.
  • Provide guidance to Principal Investigators (PIs) on fixed asset processes to ensure compliance with policies.
  • Update Standard Operating Procedures (SOPs) for system processes as needed.
  • Handle disposal of lab consumables and equipment, maintaining proper inventory documentation for financial and asset management purposes.


Requirements
  • Bachelor's degree in Physics or Engineering (Mechanical Engineering, Manufacturing Engineering, or related field) is mandatory.
  • Extensive experience in managing mechanical workshops and cryogenic facilities, with a strong knowledge of cryogenic system operation and maintenance, including helium recovery and reliquefaction processes.
  • Proficient in Mastercam Software for NC programming of CNC machines, with strong technical support skills and mechanical design proficiency.
  • Skilled in handling, storing, and ensuring safety protocols for liquid nitrogen and helium, as well as operating and understanding equipment such as cryocoolers, vacuum pumps, and pressure vessels.
  • Experienced with advanced characterization techniques and complex measurement systems like PPMS, MPMS, and HR-XRD
  • Skilled in asset management, inventory control, and maintaining organizational and multitasking capabilities.
  • Excellent communicator with strong verbal and written skills, adept at conveying updates, policies, and procedures to lab users and staff. Capable of working with students, researchers, faculty, and stakeholders to identify and address their needs.
  • Ability to solve technical issues, optimize workflows, and ensure smooth operation of teaching labs.
  • Experienced in training and guiding students and researchers, and in building professional relationships with vendors and external partners.
