The School of Civil and Environmental Engineering (CEE) trains and educates professional engineers to solve multi-faceted problems that affect our daily lives and our planet. Our programmes are complemented by state-of-the-art facilities, providing a highly advanced environment for research, development and collaborations with the industry and overseas universities. The School offers graduate programmes leading to the award of Master's Degrees or Doctor of Philosophy. The foremost intention is to provide young graduates and middle-management executives an avenue for higher education, which would provide them with necessary understanding, skills, and tools to form the next generation of executives with fairly broad knowledge.
With increasing focus on graduate programmes, it is important to maintain and improve on existing coursework programmes while continual implementation of new coursework programmes that are aligned to the directions given by the University and at National level. In other words, the assistant manger will be contributing greatly to the school's visibility and advancing goal for academic excellence. The assistant manager is responsible for the graduate coursework programmes under the purview of the CEE Graduate Studies Unit (GSU).
Responsibilities:
Support Unit Manager of GSU
Establish new Master's by coursework programmes and FlexiMasters
Maintain existing Master's by coursework programmes and FlexiMasters
Admission of students for Master's by coursework programmes
Oversight and management of student candidatures including examination matters.

There are many opportunities to learn and develop new soft skills during the course of work. Responsibilities:
Support Unit Manager of GSU
- Assist unit manager with matters relating to graduate studies unit to ensure smooth daily operations.
- Oversight of CEE Graduate programmes (by coursework)
- Work cooperatively with colleagues within and across units/department and external parties.
- Review current processes and propose improvements to Management for consideration.
Establish new Master's by coursework programmes and FlexiMasters
- Develop proposal and strategies from planning stage through to delivery for the new graduate programmes and FlexiMasters.
- Familiarise with the differences in the programme structures, implementation procedures, policies and operations between FlexiMasters and the usual MSc coursework programmes.
- Proactively liaise with the various stakeholders (e.g. proposal committee, Programme Director, School Management, related departments) for the proposal and implementations.
Maintain existing Master's by coursework programmes and FlexiMasters
- Handle implementation of new/revise NTU policies relating to graduate coursework programmes
- Prepare proposals on graduate matters such as introduction of new courses, specialization, changes in curriculum, tuition fee revision, etc. Keep relevant parties informed on the progress of proposals submitted.
Admission of students for Master's by coursework programmes
- Advise prospective graduate students on application procedures and regulations and on-line systems.
- Internal pre-screening, review and shortlisting of admission applications that fulfill the minimum University admission requirements.
- Make recommendations to Programme Directors and guide the discussion relating to decision made for student admission.
Oversight and management of student candidatures including examination matters.
- Organise orientations and provide guidelines for new graduate students.
- Course and examination timetable scheduling, and capacity planning.
- Graduate course registration.
- Support administration of specialization and dissertation
- Closely monitor the graduate students' academic progress to ensure they fulfil the course requirement throughout their candidature.
- Support students in candidature-related matters (Leave of Absence, withdrawal, etc)
- Processing of student part-time claim
- Monitor teaching feedback submissions and collate teaching feedbacks for lecturers
- Handle enquiries through counter duties and role base email account and Student Management System (SMS)
- Update website information
- Lead the decentralized examination and e-examinations
- Coordinate graduate examination script checking
- Involve in the coursework examination matters including merging and transfer of mark list, etc.
- Provide case background, pointers and assist School Management in facilitating the Board of Examiners (BoE) meeting, which eventually resulted in the decision made for the cases brought up to BoE.
- Assist in nomination of prizes and medals
Statistics and budget
- Prepare the relevant budgeting templates in the annual budgeting exercise.
- Prepare statistical reports requested by the School Management and other departments.
Qualifications and Requirements:
- A degree holder from a recognized university
- At least three years of relevant administrative experience
- Knowledge of the academic programme processes and requirements.
- Familiar with various related systems will be added advantage.
- Proficient in Microsoft Office (e.g. Excel, PowerPoint, Word)
- Proficient in online communication software (e.g. Teams, Zoom)
- Strong interpersonal and communication skills (both oral and writing skills)
- Good planning, analytical and problem-solving skills
- Excellent time management and organizational skills
- A good team player
- Able to work independently and multi-task
- Efficient and resourceful individual with drive for results
- Meticulous and able to produce good quality outputs
- High level of situational adaptability in changing circumstances
