This position reports directly to the Manager, Student Administration. The incumbent is responsible for overseeing and managing administrative and operational matters related to MSc graduate programmes within the School of Physical and Mathematical Sciences (SPMS). This role requires timely assistance and support in delivery of SPMS postgraduates' academic services, events and any administrative duties as needed by the school.

The incumbent is responsible for overseeing and managing administrative and operational matters related to MSc graduate programmes within the School of Physical and Mathematical Sciences (SPMS). This role requires timely assistance and support in delivery of SPMS postgraduates' academic services, events and any administrative duties as needed by the school.
Key Responsibilities:
- Prepare and issue appointment letters to Program Directors, Faculty, Part-Time Lecturers.
- Oversee the hiring and contract renewal processes for part time lecturers
- Manage and approve part time lecturers' claim submission, including both paper and Workday submissions.
- Develop and oversee the budget for MSc Programs in collaboration with Program Directors and Asst Chair (MSc Programmes).
- Monitor and manage expenditures to ensure they align with the allocated budget.
- Coordinate examination logistics, scheduling and decentralized exams.
- Prepare student attendance lists and invigilator reports.
- Address inquiries and collaborate with relevant stakeholders to resolve MSc Programmes related issues and enhance the processes.
- Plan and lead the Board of Examiners' (BOE) Meeting.
- Manage exam mark entry and tabulation of exam marks, including collecting mark list from Course Instructors and ensuring accuracy.
- Review Audit Trail Report for mark adjustments.
- Provide support to Program Directors on matters related to the Fleximasters in Financial Technology.
- Coordinate with PACE to manage the administration of the program.
- Coordinate with PACE regarding SkillsFuture claims for students.
- Support students in preparing and submitting the necessary documentation required for SkillsFuture claims.
- Facilitate the approval process for new MSc programs.
- Assist in the operational management and implementation of newly approved MSc programs.
Requirements:
- Bachelor's degree in any discipline, with experience preferably in academic settings and a proven track of excellent performance.
- Proficiency in Microsoft Office and other relevant software applications.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with stakeholders at all levels.
- Experience organizing and facilitating meetings or events, including agenda development and logistical coordination.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Possess strong problem solving and analytical skills
- Familiarity with budget development and financial management principles.
- Familiarity with higher education policies and regulations is an advantage.
