Responsibilities:

Receptionist:
  • Greet visitors and guests with a friendly and professional demeanor, ensuring a positive first impression and providing assistance as needed.
  • Answer incoming calls, transfer calls to appropriate departments, take messages, and provide accurate information to callers.
  • Manage the reception area, maintaining its cleanliness and organization to create a welcoming environment.
  • Direct visitors to the appropriate meeting rooms or offices, notify employees of visitor arrivals, and manage visitor sign-in procedures.
  • Handle incoming and outgoing mail, including sorting, distribution, and coordination of courier services.
  • Assist with general administrative tasks such as filing, data entry, and document preparation.
  • Maintain confidentiality of sensitive information and handle inquiries and requests with professionalism and discretion.
  • Collaborate with other administrative staff to provide seamless support and assistance across the organization.

Facilities Administrator:
  • Maintain and oversee the operation of office facilities, including ensuring cleanliness, safety, and functionality.
  • Coordinate repairs, maintenance, and service requests for office equipment, furniture, and fixtures.
  • Manage relationships with vendors and service providers, obtaining quotes, overseeing contracts, and ensuring service quality.
  • Monitor and restock office supplies, including negotiating contracts with suppliers to maintain cost-effectiveness.
  • Assist with space planning, occupancy tracking, and seating assignments for employees.
  • Prepare and maintain records and reports related to facilities management, including maintenance schedules, equipment inventories, and expense tracking.
  • Ensure compliance with health and safety regulations and implement best practices for workspace organization and cleanliness. Assist with facilities-related projects such as office relocations, renovations, or office layout changes.
