Job Description:

1) Resource Management
  • Works with PIs for charging of manpower for grants.
  • Works with PIs for EOM budgeting for grants.
  • Monitors and tracks the actual headcount hired/EOM spent versus budget for grants and alerts PI when grant balance runs low and take necessary action.
  • Ensures EOM postings for grants are done correctly (e.g. reclassification of bonus to correct project).
  • Ensures accurate and timely submission of fund requisitions and final statement of accounts for grants.
  • Supports the audit of grant projects such as providing documentary evidence to the auditor to support the manpower expenditure.

2) Learning & Development
  • Supports the planning and execution of training programmes.
  • Monitors and updates training expenditure versus the planned budget monthly.
  • Coordinates with employees and vendors to register for training.
  • Partners with HR, Procurement and Finance teams to ensure training process is adhered to.
  • Learning admin for Udemy and other Learning Management Platforms.
  • Organizes in-house training and workshops such as orientation programmes for new joiners and management tea sessions.
  • Drives regular communications of new training and team-building initiatives.
  • Supports managers to coordinate with vendors to plan and execute effective team building initiatives.

3) Student Admin
  • Consolidates student applications and match with internal requirements.
  • Schedules interviews with interview panel.
  • Coordinate with HR/departments on student matters.
  • Updating IHPC student database.
  • Any other tasks/initiatives as assigned.

Job Requirements:
  • Diploma or bachelor's degree in related field or business administration/Finance.
  • 1 to 2 years' experience in Resource or Grant Management, Learning & Development Administration will be preferred.
  • Good interpersonal and communication skills.
  • Detail oriented and a keen problem solver.
  • Adaptable and able to thrive in a dynamic work environment.
  • Able to work independently and as a team.
