The University aims to replace current systems with a modern Student Management System (SMS) that enables a seamless, engaging, and empowering student experience. The new system will comprise multiple Commercial-off-the-shelf (COTS) cloud-based solutions, leveraging the rich functionalities of best practices in higher education and aligning with technological advances such as cloud computing, AI-driven capabilities, and mobile readiness. The SMS is expected to significantly enhance operational efficiency in student management.
The role entails managing external vendor staff, internal business users, faculty, and other CITS team members to ensure successful implementation. The successful candidate will join a project management team overseeing multiple projects, including inception, business case approval, tendering, requirement gathering, implementation, and post-implementation support.

The role entails managing external vendor staff, internal business users, faculty, and other CITS team members to ensure successful implementation. The successful candidate will join a project management team overseeing multiple projects, including inception, business case approval, tendering, requirement gathering, implementation, and post-implementation support.
Responsibilities:
- Collaborate with business analyst and business stakeholders to source and evaluate technical solutions to construct the business case. The business case will include project timeline, budget, evaluation of solution, ROI, etc.
- Collaborate stakeholders to establish consensus on work stream objectives and deliverables.
- Collaborate procurement team to manage the tender process and be part of the evaluation committee to evaluate the proposal and award the tender.
- Develop the project plan including detailed activities, resources, and timeline, and maintaining project documentation.
- Lead the project team members including business users to deliver the project output including functional requirement, business process maps, testing strategy, test plan, implementation plan and post-implementation support.
- Oversee progress of the activities and conduct regular reviews to recommend schedule changes or resource adjustments.
- Facilitate project delivery and work with internal Business/IT stakeholders and external vendor to establish the desired and stipulated project priority and timeline to meet the business operations.
- Enable change management through facilitating user training and coaching.
- Manage the change request process internally and externally to ensure timely escalation of any issues.
- Be part of support team after project go-live and continue to manage the vendor team to support the business users on long term if needed.
Requirements:
- Bachelor's degree from a recognised University, preferably in Information Management/ Computer Science/Information Technology/Business Management.
- At least 12 years of IT project management experience, with experience in support and implementation of student management system in the tertiary education sector preferred.
- Possess strong project management skills to effectively manage internal and external stakeholders and deliver the project on time with quality.
- Have a proven track record or prior project experience in delivering large-scale COTS solutions and managing large number of internal and external stakeholders from different departments.
- Be a quick learner to grasp business domain knowledge and effectively lead business users in process re-engineering and other project activities.
- Be results-driven and capable of managing multiple concurrent implementation tracks.
- Have a solid technical background in the latest industry technologies. Knowledge and experience with Customer Relationship Management (CRM) system in higher education is an added advantage.
- Is passionate about creating solutions with a positive attitude to change.
- Act as a collaborative team player, fostering effective communication and collaboration within a dynamic team.
- Excellent communication skills to influence all levels of internal stakeholders and external parties.
