Assistant Manager (Graduate Coursework)

The School of Humanities aims to enhance its Graduate (Coursework) programme offerings, and by extension further develop its professional development capabilities through the SkillsFuture scheme. The Assistant Manager will manage and coordinate the delivery of student & academic services related to the taught MA programme(s) in the School of Humanities. The incumbent will execute the programme administration and supervise one or more support staff to operationalize the assigned MA programme(s) to provide timely delivery of information and services to faculty, staff, and students.

Key responsibilities

Student Admission
  • Process and review applications.
  • Oversees the planning and monitors student admission progress to ensure timeliness of the admission process.
  • Monitor admission numbers so appropriate actions can be taken to moderate/boost intake numbers depending on the progress. Plan and execute marketing outreach, student orientation and information sessions.
  • Work closely with different departments at various levels within the University for student matters.


Programme operations
  • Oversee and manage the administrative and logistic matters of the programme, such as academic advisory to students, facilitate new course proposal submission, timetabling, budgeting and overall work process optimisation and improvements, etc.
  • Provide administrative support to faculties, adult learners, students, and alumni.


Continuing Education and Training (CET) course
  • Liaise with internal and external stakeholders to ensure the smooth planning and running of courses.
  • Manage and oversee CET operational support provided such as enrolment, budgeting, billing, payment, hiring and class scheduling.
  • Manage and oversee CET enquiries and associated tasks relating to the SkillsFuture Scheme.
  • Process optimisation and improvements.


Publicity, outreach and event support

Lead the team in driving the programme's publicity and outreach efforts in consultation with the Assistant Director and Programme Director and in collaboration with relevant units in the school and college for its student recruitment campaigns. This includes website and social media content management and creation for marketing purpose. The incumbent will also assist in the planning and coordination of other events (e.g. seminars, workshop) organised by the programme.

Budget and Report
  • Manage the budget and expenditures of the Graduate (Coursework) Programmes.
  • Provide reports on the Graduate (Coursework) Programmes as and when required.


Any other duties as assigned.

Requirements
  • A Bachelor's Degree preferably in Humanities/Social Sciences/Business Administration.
  • At least 3 years working experience in a higher educational institution or management of professional education programmes would be an advantage.
  • Prior experience in event management as well as content management and creation for marketing (website and social media).
  • Excellent interpersonal and communication skills.
  • A strong collaborator - ability to work well in within the team and with key stakeholders.
  • Strong analytical and problem-solving skills.
  • Ability to multi-task and meet tight deadlines.
  • Excellent customer service skills.
  • Proficient in MS Office applications.
  • Proficient in online communication software such as Microsoft Teams and Zoom.
