Assistant Manager (1 Year Contract)

The Assistant Manager will assist the assist the Programme Director and Assistant Director, MSAG in managing the operational aspects of MSAG, working towards the common goal of delivering a high-quality programme to students in a timely and effective manner.

In addition, he/she will assist the Assistant Director to undertake general PGC developmental work.

Key Responsibilities:

Programme Publicity & Outreach
  • Plan, coordinate and manage marketing campaigns and other promotional initiatives to raise public awareness of the programme.
  • Plan, schedule and coordinate information sessions locally and overseas, if required.
  • Support programme functions and events.


Admission
  • Manage and assist to oversee applications which includes verifying of documents, prepare, and consolidate application list, preparing and releasing of outcome to applicants in GCAS, as well as handling of appeals etc.
  • Work closely with various stakeholders on admission, enrolment and scholarship matters.
  • Compile and prepare statistics on applications, after the application window period and admission cycle.


Finance
  • Perform purchasing and claim functions in ARIBA/Concur.
  • Assist with budget planning and tracking.
  • Monitor expenditure and cashflow to ensure that budget is not exceeded.
  • Support to prepare students' tuition fee billing, instructors' payment, students' awards disbursement/refund every trimester.
  • Support the claim process for SkillsFuture Credits.


Administrative Support
  • Manage 2 role-based emails/queries from students and communications with stakeholders etc.
  • Assist to collate data e.g., course curriculum, graduation survey, intake numbers, financial status etc. and prepare annual report.
  • Assist instructors on administrative and IT matters, e.g., renewal of computer accounts, NTULearn, ServiceNow, classroom bookings etc.
  • Provide administrative support for programme matters.
  • Assist to manage the approval process for curricula changes and new course proposals.
  • Assist in the placement of students on projects with practicum partners
  • Maintain and update records in MSAG shared folder to ensure that information is up to date.
  • Assist to collate information requested by stakeholders.


Students Matters
  • Maintain students' records and monitor students' candidature status.


Developmental Work for New PGC Programme(s)
  • Assist with conducting market surveys and gathering of vital information for decision making.
  • Collaborate with various stakeholders in establishing the programme's structure and curriculum.
  • Assist with organizing publicity events for programme's launch.


Requirements:
  • Recognized Bachelor's degree in any discipline.
  • Strong administrative skills in particularly, meticulous with details to keep track of progress status / completion within set timelines.
  • Customer service oriented as in possessing a positive attitude to approach each situation with a solution.
  • Open minded team player who readily communicates and objectively keeps the team goals in view.
  • Good communications skills in both written and spoken to handle diverse levels of stakeholders.
  • Ability to adapt to changing priorities.
  • Proficient in Microsoft Office (Excel, PowerPoint, Word)
  • Able to work under stress with responsibilities and integrity.
  • Able to multi-task and work independently as well as in a team to achieve goals
