The Assistant Manager is responsible for:
Procurement, Accounting and Reporting
- Manage procurement, reimbursement and accounting activites.
- Provide timely advice for queries raised by stakeholders relating to procurement and budget allocation.
- Budget planning for office-related expenses, ensuring all spendings are in accordance with policies and guidelines.
- Ensure accurate records and perform due diligence in accounting of expenditures for reliable periodic reporting.
- Facilitate timely processing of expense claims.
- Generate monthly, quarterly and yearly reports as required.
- Monitor the status of outstanding purchase orders to ensure they remain current and valid.
- Ensure purchases comply with procurement policies and guidelines.
- Perform due diligence on all procurement activities to optimise cost-effectiveness and value.
Other General Administration
- Understand and apply current policies and procedures to synchronise processes and minimise operational disruptions.
- Design and implement new procedures and workflows for NTU I&E.
- Track critical deadlines and support the Reporting Officer in managing administrative matters.
- Establish and refine Standard Operating Procedures (SOPs) for all areas of responsibility to enhance process efficiency.
- Offer administrative support, including handling claims submissions and approval requests.
- Coordinate travel arrangements for official business and provide logistical support for meetings with internal and external stakeholders.
- Handle any other ad-hoc initiatives and assignments assigned by the Office.
Requirements:
- A degree in Business Administration, or a related field, is preferred.
- Minimum 5 years of working experience in an administrative role.
- Relevant working experience in an institute of higher learning and/or the education sector will be advantageous.
- Strong proficiency in MS Office Applications.
- Strong written and verbal communication skills.
- Able to work individually and collaborate with others as a team.
- Strong planning, organisational and problem-solving skills. Independent and possess strong multi-tasking abilities.
- Meticulous and attentive to details.
