Key Responsibilities:
- Provide secretarial duties:
- scheduling of both internal and external meetings
- taking of minutes
- consolidating of staff timesheets and reporting
- arranging staff and subcontractors for security clearance
- Raising purchase requisitions and follow up with vendors on order confirmations and delivery dates
- Provide administrative support in progress claim submissions and billings.
- Ensure the smooth processing, documentation and follow up with Purchase Requests and Purchase Orders
- Ensure timely and accurate execution and proper documentation of Sales Orders
- Assist the Project Manager in putting up monthly progress claim to Customers.
- Assist the Project Manager in preparing and submission of monthly Progress Report to Customers.
- Attend and assist to take down notes of meeting and route for all parties for approval.
- Ensure proper filing of project documentation in accordance to Standard Operating Procedures of the Company
Requirement:
- Possess at least a Diploma in Commerce / Business Administration or its equivalent
- At least 3 years of administrative experience in an Engineering Services company
