Senior Executive / Assistant Manager, Student Administration

We invite suitable candidates to apply for the Student Administration, Senior Executive / Assistant Manager role with our Academics Office to provide support to the Academic team on all undergraduate matters.

Responsibilities:

Course Administration, Timetabling and Registration
  • Oversee course registration and ensure that the process has been conducted in accordance to the university's and school's policies, guidelines and deadlines
  • Check and ensure that all students have successfully registered for their required course after the course registration exercise.
  • Manage the coordination of class timetable, modules allocation to students to ensure optimal learning.
  • Oversee, facilitate and ensure timely and relevant placement of students for the internship and the exchange programmes.
  • Provide academic and administrative advisory support services to students including responding to and management of student emergencies locally and in overseas.
  • Perform completeness checks on proposals submitted for new programmes and for request for change of curriculum by Faculty.
  • Administer and ensure fair distribution of teaching assignments for academic faculty, teaching assistants and postgraduates for undergraduate courses offered in the semester.


Examination
  • Liaise with faculty members, undergraduate coordinators of other schools and Central Administration in the planning of examination schedules and ensuring no clashes.
  • Ensure all examination matters are administered in line with the university's policies.
  • Manage pre-exam preparation and post-exam processing which includes exam scheduling, post exam processing (marks checking and processing, checking of reports, exam result appeals, special consideration, academic awards and graduation matters).
  • Coordinate and facilitate the examination results appeal and review process and update student(s) timely on the decision.


Others
  • Work with academic studies unit in other school for second major student course registrations
  • Timely reporting of deviations to current policy requirements and guidelines and propose/initiate rectification actions.
  • Review and recommend opportunities for process alignment or enhancement for the school's Undergraduate Department using university wide policies and guidelines as a reference.
  • Prepare, provide, submit and maintain various types of reports and statistical information as required.
  • Study the enrolment trends and patterns of withdrawal across the school and provide recommendation(s) to the Associate Chair (Academic) for his/her strategic planning discussion with the School Board.
  • Coordinate and administer the Continuing Education and Training program (i.e. Part time diploma to eventually take part time degree in SCSE).
  • Secretariat for School Academic Committees.


Requirements:
  • Min. a Degree with 5 years of relevant experience, preferably in an educational institution.
  • IT savvy, proficient in MS Office applications and database management systems
  • Meticulous and organized, with the ability to multi-task
  • Proactive, analytical and resourceful
  • Ability to work in a team
  • Excellent interpersonal and communication (oral and written) skills
  • Good sense of initiative and responsibility and positive working attitude
  • Ability to manage stressful situations
