Senior Assistant Manager, Student Administration

We invite suitable candidates to apply for the Student Administration, Senior Assistant Manager role with our Academics Office to provide support to the Academic team on all undergraduate matters.

Responsibilities:
  • Responsible for the planning and management of a growth management strategy and sustaining current excellent business with a focus on undergraduate and CET programs.
  • Administer and manage daily operations and activities of the office, identifying and executing tasks and objectives, making recommendations and assigning resources to achieve the goals and desired outputs.
  • Collect and create data to generate and analyze statistics of various metrics of programmes to evaluate effectiveness. Review, formulate and propose recommendations.
  • Evaluate alternative solutions and/or recommendations for improvement in collaboration with stakeholders
  • Analyze and interpret policies to develop, revise and implement procedures for the efficient administration of Undergraduate and CET programs.
  • Represent the School's Undergraduate Office as the key contact and subject matter expert within the department to liaise with external stakeholders or offices to follow up on requests and requirements.
  • Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting workshops, events and related requirements. Participate in various welcome events for freshmen, including orientation and matriculation activities.
  • Perform forecasting and work with Associate Chair (Academic) to plan and participate in development of budgets, monitoring and approval of expenditures.
  • Supervise and direct a team of staff to perform various tasks and assignments. Provide guidance to team members on governance, business process and finance matters.
  • Manage the coordination of class timetable, modules allocation to students to ensure optimal learning. Administer and ensure fair distribution of teaching assignments for academic faculty, teaching assistants and postgraduates for undergraduate courses offered in the semester.
  • Oversee course registration and ensure that the process has been conducted in accordance to the University's and school's policies, guidelines and deadlines.
  • Oversee, facilitate and ensure timely and relevant placement of students for the internship and the exchange programmes.
  • Provide academic and administrative advisory support services to students including responding to and management of student emergencies locally and in overseas.
  • Manage pre-exam preparation and post-exam processing which includes exam scheduling, post exam processing (marks checking and processing, checking of reports, exam result appeals, special consideration, academic awards and graduation matters).
  • Collaborate with relevant NTU offices to ensure that the marketing and branding programmes remain attractive and relevant in the recruitment and admission of high caliber students.


Requirements:
  • Min. a Degree with 5 years of relevant experience, preferably in an educational institution.
  • IT savvy, proficient in MS Office applications and database management systems
  • Meticulous and organized, with the ability to multi-task
  • Proactive, analytical and resourceful
  • Ability to lead a team and manage stressful situations
  • Excellent interpersonal and communication (oral and written) skills
  • Good sense of initiative and responsibility and positive working attitude
