Assistant Manager, Technology and Operations

At Career & Attachment Office (CAO), we organize various career programmes, events and activities to ensure that students are future-ready and have good employment outcomes upon graduation. One of the key strategies is the leverage of technology to provide digital platforms such as virtual career fairs, job portals to facilitate employers' engagements with students. With the advent of AI and big data, there is an impetus to have a more robust career management system to provide analytics to better inform decision making, track outcomes and enhance productivity.

Reporting into the Career Services (Students) Unit in CAO, the incumbent is responsible for supporting the operations and technology function under the Industry Relations team within CAO and NTU.

Responsibilities

1. Business Operations & Reporting
  • Provide prompt and effective support for employer engagement, feedback and other inquiries.
  • Support internal and external teams in resolving support requests - including triage, prioritisation, coordinating teams and basic troubleshooting.
  • Prepare usage reports for internal teams.
  • Support user testing and change management, e.g. for new content or features.
  • Plan and lead regular review of processes and performance metrics, to guide internal teams in continuously improving product and support standards.


2. Systems Management & Process Optimisation
  • Source for suitable systems to organise and support virtual events and career management services including conduct feasibility study.
  • Assist in project management support for integration and upgrade.
  • Maintain the systems after implementation, version upgrades, patches, renewal etc.
  • Managed day to day operations and be the super user for the various career management systems.


3. Procurement
  • Plan and manage budget.
  • Review and process procurement requests promptly, following procurement requirements.
  • Assist internal stakeholders in the process of soliciting quotes from suppliers and generating purchase orders for them.
  • Maintain technology contracts register & support timely contract renewals.


Requirements
  • Bachelor's degree preferably in information systems or Business disciplines.
  • Minimum 5 years of work experience with experience in managing projects and platforms.
  • Good team player with excellent communication and interpersonal skills.
  • Strong coordination, problem solving and decision-making skill.
  • Possess strong initiative, meticulous, systematic and process-oriented.
  • Able to adapt and multi-task in a fast-paced environment.
  • Demonstrable experience in analysing and improving work processes.
  • Risk management.
  • Preferred experience using Tableau, Power BI, QlikView/Qliksense.
