Assistant Manager, Examination Administration

The Office of Academic Services (OAS) plays a key role in advancing the University's educational goals through implementing and administering the academic policies established by the University's academic body.

OAS provides academic services for students from the time of their matriculation to their graduation and are committed to integrity, strong governance, and high standards of professionalism in our work to establish success for all NTU students.

This position will support the operations in the Office of Academic Services in examination timetable planning, venue planning, invigilation planning and administering the conduct of examinations and manage the processing of medical certificates submitted by students. The incumbent will work independently and collaboratively with Schools and students and support the team lead in examination related work. Furthermore, he/she will contribute to the digital transformation of examinations at University level.

Responsibilities
  • Responsible for timetabling of examinations, venue planning, seating arrangement, planning of invigilation duties, engagement and deployment of external staff and setting up of venues for conduct of examinations.
  • Enable the digital transformation of examination at University level by reviewing and enhancing the existing exam processes and exploration of new technologies.
  • Liaise with internal and external stakeholders for smooth execution of examinations.
  • Oversee and manage the administration of examination and relevant materials.
  • Conduct briefings to invigilators and other examination personnel for the conduct of examinations.
  • Manage the processing of medical certificates submitted by the students for timely release to the Schools.
  • Participate in cross-team projects and be a change agent to foster collaborative culture.


Requirements
  • Bachelor's degree from a recognised university.
  • Minimum 3 to 5 years of supervisory experience, preferably in academic services in the tertiary education sector.
  • Meticulous with strong writing and organisational skills.
  • Experience in examination planning and events management will be preferred.
  • Passionate in collaborating and engaging people at different levels of the organization.
  • Good team players with strong interpersonal and communication skills.
  • Able to work independently, multi-task and work under pressure.
  • Proficient in office IT applications and Microsoft Office suite of application.
  • Analytical skill with data and information.
  • Experience in database and process management.
  • Working knowledge of SQL will be an added advantage.
  • Amiable disposition with high integrity and good working attitude.
