Finance HR Administrator


Key Responsibilities

Finance & Procurement Coordination

  • Support Accounts Payable functions, including data entry, invoice verification, and record maintenance
  • Prepare and issue Purchase Orders in accordance with established procedures
  • Perform 3-way matching of Invoices, Delivery Orders, and Purchase Orders to ensure accuracy and compliance
  • Assist in the preparation of sales quotations and basic costing coordination
  • Liaise with vendors and internal stakeholders on billing, documentation, and procurement matters

Human Resource & Compliance Support

  • Maintain accurate employee records, including attendance, leave, and personnel information
  • Support Work Permit and S-Pass applications, renewals, and regulatory submissions in compliance with MOM requirements
  • Coordinate recruitment activities, including interview scheduling and onboarding arrangements
  • Assist in HR documentation and ensure adherence to company policies and regulatory requirements
  • Arrange and coordinate staff training programmes, including tracking participation and maintaining training records
  • Support ISO documentation and training compliance where applicable

General Support

  • Coordinate daily office operations to ensure efficient workflow and communication across departments
  • Handle general enquiries and correspondence in a professional and timely manner
  • Maintain proper documentation, filing systems, and records management practices
  • Facilitate coordination between Finance, HR, and Operations teams to support business functions

Required Qualifications & Competencies

  • Diploma or Degree in Business Administration, Human Resources, Accounting, or a related discipline
  • Minimum 1–2 years of relevant experience in administrative, HR, finance, or coordination roles
  • Strong organisational and multitasking abilities with attention to detail
  • Effective interpersonal and communication skills
  • Proficient in Microsoft Office applications (Excel, Word, Outlook)

Preferred Qualifications

  • Prior experience in the Construction, Engineering, or related industries
  • Familiarity with Work Pass applications (Work Permit / S Pass) and basic accounting processes
  • Exposure to ISO standards or compliance-related documentation is an advantage
