Roles and Responsibilities: The Senior Executive is responsible for managing the end-to-end order fulfillment cycle, coordinating international shipments, and providing comprehensive administrative support to the After Sales division.
Key responsibilities include (but are not limited to):
- Global Order Management: Process complex orders from regional distributors and customers, ensuring accurate data entry into global ERP systems.
- Supply Chain Coordination: Manage purchase orders and shipping instructions with international vendors and various global regional headquarters (Europe, Americas, etc.).
- Logistics & Documentation: Coordinate shipments with warehouse and shipping departments; prepare all necessary certifications and documentation for international transit.
- Financial Oversight: Liaise with the Accounting Department to manage vendor payments and perform rigorous follow-ups on outstanding receivables from distributors.
- Claims Management: Investigate distributor claims regarding shortages, defective parts, or mis-supply, and facilitate credit note issuance upon approval.
- Operational Reporting: Prepare detailed sales reports and graphical analysis to assist management in tracking performance and trends.
- Leadership & Onboarding: Guide and mentor junior administrative executives to foster best-in-class operational training practices.
- Stakeholder Relations: Act as a professional point of contact for incoming inquiries, maintaining the group's reputation for high-standard customer service.
Skills & Requirements:
- Education: Minimum Diploma in Business Administration, Mechanical Engineering, or a related field.
- Experience: At least 4 years of experience in Sales Administration or Logistics within a technical or industrial environment.
- Technical Skills: Highly proficient in Microsoft Excel (Advanced: V-Lookup and Pivot Tables) for complex data management.
- Communication: Fluency in both English and Chinese is required to facilitate communication with a diverse regional & Chinese-speaking stakeholder base.
- Soft Skills: Meticulous attention to detail with the ability to multitask and prioritize a heavy workload under tight deadlines.
- Professionalism: High sense of integrity and a responsible attitude, with the ability to project a positive and professional image to external clients.
