Job description
  • Provide secretarial and administrative support to Management and other professional staff, including general administrative support for the Company.
  • Manage filing systems, including the maintenance and organization of legal documents and records.
  • Manage calendar schedules for Management and professional staff.
  • Perform receptionist duties, including handling incoming calls and attending to visitors.
  • Handle the distribution of incoming and outgoing mail.
  • Schedule and coordinate meetings, video conferences, and conference calls.
  • Prepare presentation materials as required.
  • Arrange travel logistics such as flight bookings, visa applications, hotel reservations, and transportation.
  • Process travel and other expense claims.
  • Maintain records of training and seminars attended for submission to MAS or other professional licensing requirements, where applicable.
  • Perform general administrative tasks suchas monitoring and ordering stationery and pantry supplies.
  • Undertake any other ad hoc tasks as assigned by the Management or the Company.

Requirements
  • Positive working attitude, willing to learn, and able to work well with others.
  • Meticulous, detail-oriented, and well-organized.
  • Able to work independently as well as in a team.
  • Pleasant disposition with strong initiative.
  • Minimum O-Level qualification.
  • At least 3 years of secretarial work experience.
  • Good command of spoken and written English.
  • Ability to speak Mandarin and read Chinese is an advantage, as certain legal documents are in Chinese.
  • Strong organizational, communication, and interpersonal skills.
