Position Summary
We are seeking a skilled and experienced Document Controller to oversee the full lifecycle of project documents for a major offshore energy project. This role is critical for ensuring compliance with the Client's document standards and procedures. The Document Controller will also serve as the primary focal point for all document-related coordination between the project teams in China and Singapore and the Client representatives in Singapore.
Key Responsibilities & Technical Duties
Document Lifecycle Management
• Manage the end-to-end process of project documents, including registration, tracking, revision control, distribution, and final archiving.
Client Focal Point & Coordination
• Act as the primary contact for all document and correspondence matters between the project teams (China & Singapore) and the Client team in Singapore.
• Facilitate discussions to resolve queries, clarify requirements, and ensure alignment on document standards and submittal processes.
EDMS Administration
• Operate and administer the project's Electronic Document Management System (EDMS) in accordance with established workflows.
• Support team members in ensuring proper use and compliance.
Procedural Compliance
• Implement and enforce the project's Document Control Procedure.
• Ensure all documentation meets Client-specific requirements and project standards.
Transmittal & Correspondence Management
• Prepare, issue, and track all formal transmittals to the Client and other parties.
• Monitor and manage all incoming and outgoing correspondence.
Reporting & Status Tracking
• Generate and distribute regular document status reports, dashboards, and progress metrics for internal project management and Client updates.
Preliminary Qualifications & Technical Skills
• Minimum 3 years of experience as a Document Controller; experience in the oil and gas sector is preferred.
• Direct experience in offshore oil and gas projects is advantageous.
• Strong communication skills in English (written and spoken) to liaise effectively with Client representatives and internal teams.
• Proficiency in at least one major EDMS platform.
• Basic understanding of engineering document types, document workflows, and the full project lifecycle.
• Strong organisational skills, attention to detail, and ability to manage high volumes of documentation accurately.
