We are looking for an Administrative Assistant to support the smooth operation of the APAC office and assist in streamlining operational processes in our newly established branch in Australia. This role is essential in maintaining high levels of administrative efficiency and supporting colleagues across departments in project documentation, coordination, and day-to-day administrative functions.

The role will report to the Business Operations Executive of Sudlows APAC and will be responsible for providing administrative, HR, and operational support across the APAC region, with a focus on optimizing workflows and supporting coordination with various departments in UK Headquarter.

The ideal candidate is organized, proactive, and resourceful, with the ability to work independently and manage multiple priorities in a fast-paced environment. A high level of discretion, initiative, and attention to detail is essential.

Key Responsibilities

• Perform general administrative support such as data entry, filing, and document management control.

• Provide administrative support to project managers such as preparation of documents, reports, presentations, label printing, and coordination, as needed.

• Support Business Operations Executive in maintaining and updating project tracking system by monitoring project timelines, budget allocations, and billing.

• Track and consolidate timesheets of project managers and assist in aligning time entries with project budgets and deliverables.

• Assist with calendar management, scheduling meetings, meeting room bookings, etc.

• Manage travel bookings and visa applications for business travel across APAC

• Coordinate with global cross-functional teams to support smooth communication and alignment across regions.

• Respond to employee queries related to office supplies, IT support, and general administrative needs.

• Support HR-related functions including recruitment coordination, onboarding process, and maintaining employee records in collaboration with HR UK.

• Contribute to team success by supporting various administrative initiatives as needed

Requirements and Qualification

• Experience in Administration and Office Support with preferably 2 years in a similar role. Fresh candidates with no prior experience are welcome to apply.

• Familiarity with HR processes and recruitment coordination.

• Proficiency in MS Office Suite (MS Excel, MS Outlook and MS Teams, in particular) and cloud platforms (Microsoft OneDrive, Google Drive)

• Strong organizational and multi-tasking skills in a fast-paced, cross-functional environment

• Excellent time management skills and ability to multi-task and prioritize work

• Excellent written and verbal communication skills

• Ability to work independently and proactively suggests process improvements.

Experience supporting cross-border operations or new office setups is an advantage.
