Working Conditions
Administrative Support
- Handle data entry, filing, and document management.
- Prepare letters, memos, meeting notes, and reports.
- Maintain and update records, spreadsheets, and databases.
- Ensure accurate data entry into service management systems (e.g., Infortec, Maximo, etc.).
- Monitor service contracts and alert relevant teams ahead of expiry or renewal.
Service / Contract Coordination
- Track service job schedules, contract dates, and renewal timelines.
- Provide support for monthly invoicing and billing tasks.
Communication & Liaison
- Answer incoming calls and emails, and relay messages to relevant parties.
- Liaise with clients, vendors, or internal staff for scheduling and basic inquiries.
- Assist in arranging meetings and site access when required.
Billing & Documentation
- Prepare billing schedules and support accurate invoicing based on contract milestones or deliverables.
- Reconcile billing discrepancies and liaise with the finance team for resolution.
- Maintain proper documentation, including archiving and version control of all contract files and correspondence.
Documentation & Reporting
- Track and report key service metrics (e.g., Revenue and Order Report, PM and CM Schedule).
- Maintain records of service jobs, equipment, warranties, and spare parts.
- Assist in invoice preparation and resolve billing discrepancies.
- Ensure administrative procedures adhere to company policies and standards.
- Contribute to continuous improvement of service workflows and processes.
Office Support
- Manage office supplies, mail, and courier arrangements.
- Assist with minor bookkeeping, claim forms, or expense tracking (if required).
- Maintain both digital and physical document filing systems.
Qualifications & Skills
- Minimum GCE 'O'/'A' Level, Nitec, Diploma, or equivalent.
- Basic proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong written and verbal communication skills.
- Detail-oriented with the ability to work independently.
- Prior administrative experience (especially in facilities, contracts, or operations) is preferred but not mandatory.
