Job Description & Requirements

Key Responsibilities

Corporate Secretarial & Compliance Support

  • Prepare board resolutions, forms, and other documents for statutory compliance
  • Maintain accurate and up-to-date digital statutory records and registers
  • Monitor compliance deadlines and support tracking of routine filing obligations
  • Support corporate secretarial team with client onboarding and documentation

General Administrative Duties

  • Provide administrative support to the corporate services team and wider office
  • Maintain and organize digital and physical filing systems
  • Handle routine correspondence, phone calls, and incoming/outgoing mail
  • Maintain office inventory (supplies, stationery, etc.) and coordinate vendor arrangements
  • Support with meeting scheduling, internal events, and office logistics
  • Assist in document formatting, client data entry, and preparation of reports or trackers

Basic IT & Call Support

  • Serve as first-line contact for internal IT issues (e.g., logins, printing, basic software queries)
  • Coordinate with IT vendors for office setup, troubleshooting, or scheduled maintenance

Requirements

  • At least 1 year of experience in general admin, office coordination, or corporate services
  • Familiarity with ACRA BizFile, basic company compliance, or willingness to learn
  • Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with Google Workspace a plus
  • Tech-savvy with a basic understanding of common office systems and troubleshooting
  • Excellent organizational skills with a high level of attention to detail
  • Good communication skills and a willingness to take initiative
  • Able to manage multiple tasks and follow up independently
