The Admin/Accounting Assistant provides essential support to both administrative and accounting departments. This position involves a mix of office management tasks, accounting support, and ensuring smooth day-to-day operations. The ideal candidate will have strong organizational skills, attention to detail, and a basic understanding of accounting principles.
Key Responsibilities:
Administrative Support:
- Answer and direct phone calls and emails.
- Assist with scheduling and coordinating meetings, appointments, and travel arrangements.
- Maintain and update office files, records, and databases.
- Prepare and organize documentation and correspondence for meetings and reports.
- Provide general office support, including photocopying, scanning, and filing.
- Coordinate office supplies and manage inventory.
Accounting Support:
- Assist with processing invoices and payments, ensuring accuracy and timely processing.
- Help maintain financial records, including accounts payable and receivable.
- Prepare and reconcile bank statements and assist with monthly reconciliations.
- Assist in preparing financial reports and statements.
- Help track expenses and assist with budgeting.
- Support the accounting team with general bookkeeping tasks.
Additional Responsibilities:
- Assist in maintaining accurate and up-to-date financial records in accounting software.
- Provide administrative support for internal and external audits.
- Respond to inquiries from employees and clients related to billing, accounts, or office procedures.
- Perform other duties as assigned by the supervisor or manager.
Qualifications:
- High school diploma or equivalent (Associate's degree in accounting or related field preferred).
- Proven experience in an administrative or accounting assistant role (1-2 years preferred).
- Basic knowledge of accounting principles and financial recordkeeping.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
- Experience with accounting software (QuickBooks, Xero, etc.) is a plus.
- Strong organizational and time management skills with the ability to prioritize tasks.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
Skills:
- Strong attention to detail and accuracy in data entry and financial record-keeping.
- Ability to manage multiple tasks simultaneously and meet deadlines.
