Job Summary:

The Admin/Accounting Assistant provides essential support to both administrative and accounting departments. This position involves a mix of office management tasks, accounting support, and ensuring smooth day-to-day operations. The ideal candidate will have strong organizational skills, attention to detail, and a basic understanding of accounting principles.

Key Responsibilities:

Administrative Support:

  • Answer and direct phone calls and emails.
  • Assist with scheduling and coordinating meetings, appointments, and travel arrangements.
  • Maintain and update office files, records, and databases.
  • Prepare and organize documentation and correspondence for meetings and reports.
  • Provide general office support, including photocopying, scanning, and filing.
  • Coordinate office supplies and manage inventory.

Accounting Support:

  • Assist with processing invoices and payments, ensuring accuracy and timely processing.
  • Help maintain financial records, including accounts payable and receivable.
  • Prepare and reconcile bank statements and assist with monthly reconciliations.
  • Assist in preparing financial reports and statements.
  • Help track expenses and assist with budgeting.
  • Support the accounting team with general bookkeeping tasks.

Additional Responsibilities:

  • Assist in maintaining accurate and up-to-date financial records in accounting software.
  • Provide administrative support for internal and external audits.
  • Respond to inquiries from employees and clients related to billing, accounts, or office procedures.
  • Perform other duties as assigned by the supervisor or manager.

Qualifications:

  • High school diploma or equivalent (Associate's degree in accounting or related field preferred).
  • Proven experience in an administrative or accounting assistant role (1-2 years preferred).
  • Basic knowledge of accounting principles and financial recordkeeping.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with accounting software (QuickBooks, Xero, etc.) is a plus.
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.

Skills:

  • Strong attention to detail and accuracy in data entry and financial record-keeping.
  • Ability to manage multiple tasks simultaneously and meet deadlines.
  • Strong organizational and time-management abilities.
  • Ability to handle confidential and sensitive information with discretion.

Work Environment:

  • Office-based environment.
  • Regular business hours with occasional overtime, depending on workload.
