Job Description

The archivist will assist to archive board papers as well as Finance records and shred documents that are no longer required.  The incumbent is based in Dover campus and may require to travel to East campus, if required.

Main Responsibilities

Project I: Archiving Board Papers (Dover campus only)

•       Tidying, sorting and streamlining the Board Archive Room and further cabinets and boxes (which can only be accessed once there is sufficient room in the Board Archive room)

•       Ensuring papers are in date order in committees and filed in clearly identifiable cabinets

•       Shredding all other papers which are identified as no longer required

•       Ability to work under minimal supervision.  Be able to work independently and possess reasonable sound judgement.

•       To be supervised by the Board Secretary

Project II: Archiving Finance Records (Dover and East campus)

•       Tidying, sorting and streamlining the Finance archives 

•       Shredding all papers identified as no longer required

•       Ability to work under minimal supervision.  Be able to work independently and possess reasonable sound judgement.

•       To be supervised by the Senior Personal Assistant to the COO

Estimated project timeline: Full month on 1 month basis

This project may be elongated or shortened accordingly, subjecting to the progression of the projection.

Person Specifications

•       Diploma or post-secondary educational qualification is a minimum requirement for this role

•       Experience with archiving, information system, is an added advantage

•       Prior administrative experience in office environment

•       Comfortable with physical duties (e.g. need to climb ladder and handle 5 kg or heavier boxes as part of daily work)

•       Possess strong integrity and able to handle and organise high volume of highly sensitive information.

•       Self-starter, able to work independently with minimal supervision
