Job Description

Bed Management Unit (BMU)

  • Assist in the development and improvement of workflows and processes in BMU
  • Assist in the development of algorithm for bed allocation based on Hospital’s clinical segmentation and patients’ requirements
  • Perform bed allocation duties and assign beds in accordance to the hospital guidelines
  • Coordinate patient movement with wards and other departments
  • To be able to identify potential bed tight situation and active bed tight measures
  • Liaise with other hospitals and LTC operator for direct admission, when required
  • Handle bed enquiries and respond to or follow up on bed/transfer requests
  • Optimise manpower utilisation through effective rostering
  • Coordinate OJT programs for new staff by identifying training needs, plan and organise programs and schedules, continuously evaluate and monitor staff progress; initiate reviews/feedback session
  • Develop training material, and provide training to frontline staff in the areas of bed allocation in accordance to guidelines
  • Assist in the preparations of management reports and provide statistics when required

Health Information Service (HIS)


  • Assist in the development of policies and protocol related to HIS
  • Assist in the development of training manual
  • Assist in the planning, mapping and evaluation of all operational activities in the management of medical records (inclusive of scanning/digitisation of records), records storage and medical records processing
  • Assist in the smooth operations of the department and provision of quality services to internal and external customers
  • Ensure provision of accurate, complete and comprehensive patient records to doctors, nurses and other clinical staff
  • Ensure documented policies, procedures and standards are updated to ensure relevancy and quality for e.g. release of information, confidentiality, information security, information storage and retrieval and record retention, authorship and authentication of health record documentation
  • Assist in managing vendors effectively and efficiently
  • Perform continuous review of workflows, systems and procedures to identify areas for improvement
  • Provide guidance to staff to ensure that all medical records are accessed and managed under strictest confidentiality and security
  • Identify and correct service discrepancies (if any) promptly and work on process improvement by training staff to rectify service lapses
  • Ensure monitoring, tracking and submission of relevant performance reports as required


  • University Degree
  • Relevant working experience, preferable in an operations or service background, Healthcare experience is a bonus
  • Ability to plan, organize, supervise and execute
  • Strong project management skills
  • Analytical and innovative thinker
  • Service-oriented with good interpersonal and communication skills
  • Good team player and manage good relationships (internal and external)
  • Ability to work independently and also in a team
