Job Title : Asst Manager/Senior Asst Manager

Reporting Officer - Deputy Director

KEY JOB PURPOSE   

Provide administrative support to ensure the smooth office operations in Graduate College and to promote publicity of Graduate Education to attract potential candidates to join for graduate studies

SECTION 3: KEY ACCOUNTABILITIES & RESPONSIBILITIES    List the key responsibilities and accountabilities that must be achieved.

1. Finance

 Track the usage of budget

 Ensure processing of claims and any financial matters are in compliance to the university’s financial regulations and policies 

 Manage all procurement matters in accordance to university’s financial regulations and policies

 Ensure proper documentation of all financial records 

2. Human Resource

 Handle staff welfare activities and events

3. Office Administration

 Oversee the maintenance of office facilities and equipment to ensure the smooth office operations

 Take on the role of Safety Officer to oversee all matters pertaining to safety in office  Negotiate with vendors and suppliers, as well as liaise with central departments for office supplies and equipment

 Ensure GC's website is well-maintained with up-to-date information

4. Publicity & Outreach

 Manage all matters pertaining to publicity and outreach

 Organise recruitment drive, information session, publicity and outreach programme to attract graduate students

 Organise events and visits for GC’s guests

 Provide marketing materials for various internal and external publications 

 Work with Corporate Comm for brand alignment and media exposure

SECTION 5: COMPETENCE AND QUALIFICATION REQUIREMENTS

 Knowledge and Experience (e.g. qualification, years of experience)

 A recognized university degree (in any discipline)

 At least 2 years of relevant working experience 

 Key Competency Requirements

 Proficiency in office IT applications, Microsoft Office  Knowledge of financial management

 Mature and responsible

 Meticulous with strong planning and organisational skills 

 Strong interpersonal, verbal and written communication skills
