Job Description

  • Key Secretarial and Admin Duties
    • Provide a wide range of secretarial and administrative support to Senior Advisor to President and Dean of International Affairs (DIA)
    • Manage day-to-day schedule and time commitments
    • Manage scheduling, prioritization and preparation for all meetings
    • Assist with written communications to both internal and external parties as and when required
  • Other Admin Duties
    • Prepare annual budget and local claims
    • Prepare and coordinate travel logistics which includes pre-travel booking, ticketing, programme, post-trip claims
    • Assist in preparing presentation slides and plan programmes for external guests that may entail the full spectrum of administrative support during the visit
    • Assist with general organising and scheduling of DIA board duties, consolidating powerpoint and conference paper submissions, networking meetings both locally and overseas, like the Asia-Pacific Association for International Education (APAIE), Asean University Network (AUN), QS, Going Global, and World Class Universities conferences
    • Manage the Wharton-SMU Global Modular Course which includes student recruitment, briefing to students, budget preparation, planning the course schedule, liaising with the invited guest speakers, organizing the caterers and transportation for company visits, working closely with the contact person from The Wharton School to ensure the smooth delivery of the course and travelling with the class to Indonesia and Malaysia
    • Manage the Shantou University-SMU course which includes student recruitment, briefing to students, budget preparation, and working closely with the contact person from Shantou University to ensure the smooth delivery of the course
    • Creation of purchase orders and ensure finance guidelines are met
    • Any other duties assigned

Qualifications

  • Minimum Diploma or degree with at least 5 years of secretarial experience supporting senior management level
  • Excellent communication (both spoken and written) and interpersonal skills
  • Discreet, ability to work with confidential information
  • Meticulous, sharp and attentive to details
  • Very organized, ability to multi-task, to handle changes in priorities and schedules and to bring issues to closure
  • Efficient, self-motivated and work well with minimal supervision
  • Possess a good and positive attitude
  • Proficiency in Microsoft Office Applications

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
