Job Description

Job Responsibilities:

  • Manage F&B operations
    • Manage and coordinate the tender and administration for F&B outlets.
    • Liaise with operators on the lease and leasing administration
    • Work with F&B operators to ensure that they meet the guidelines/regulations set to operate in university premises
    • ie. meet fire safety regulations, meet food safety regulations, regular pest control, regular maintenance of air-con, exhaust fans, sewage pipes, monitor and get approvals for changes to food menu and pricing
    • Coordinate with operators on any matters arising and feedback received
    • Conduct annual benchmark on food pricing and market rental rates
  • Manage the pantry support
    • Procurement and inventory management of pantry supplies and records keeping
    • Liaise with food supplier and manage coffee machines
    • Work with the outsourced vendor on the pantry replenishment and tea ladies support
  • Manage the mail, print and despatch operations
    • Managing of all mail operation (incoming and outgoing mails)
    • Managing of all internal and external despatch
    • Managing of ferry service support
    • Managing of printing service support
    • Sourcing and liaising with external couriers where necessary
    • Liaising and coordinating service support with requestors
  • Manage sports facilities
    • Manage the operations of the student and staff gym, recruitment and supervision of gym supervisors (temp staff), and the procurement and maintenance of gym equipment
    • Manage and schedule the set up/down of mpsh, tennis courts and dance studio, coordinate with users and plan for manpower to ensure preparations are carried out smoothly
  • Manage the science laboratories (physics, biology and chemistry)
    • Maintenance of equipment and inventory list
    • Set up/ down of equipment for users
  • To provide seamless support to the assistant director in the following functional areas
    • Administrative: to conduct tenders, issue purchase orders and to screen all invoices before submission for payment; to screen all claims (overtime, transport, etc) and leave application from reporting staff
    • Policy and procedure: to manage and update all policies, guidelines and procedures related to the above
  • To carry out any duties assigned by Assistant Director

Job Requirements:

  • Bachelor’s degree with min 2 years in facility management/ operations or Diploma with min 5 years work experience in facility management/ operations
  • Min 1 year in a supervisory / team lead role preferred
  • Well versed in Microsoft Office Applications
  • Class 3 Driving licence would be an advantage
  • Responsible and independent
  • Good problem-solving and interpersonal skills
  • Good written and communication skills
  • Customer service oriented
  • A team player with passion and commitment
