Job Description


  • Ensure smooth business operation by handling and administering office facilities
  • Administer company policies relating to office maintenance and ensure adherence to company administrative procedures
  • Ensure procurement and utilization of company assets in a cost-effective way
  • Oversee office space, equipment, suppliers, renovation, furniture maintenance by effectively utilizing of resources
  • Manage and liaising with suppliers as well as vendors
  • Participate in service agreement negotiation and selection of vendors
  • Provide feedback and review vendor performance to ensure compliance with standards
  • Manage maintenance programs relating to exterior and interior office conditions
  • Undertake project management for office renovations and design
  • Must be able to maximise office space as part of productivity drive and introduce new concepts in workspace design
  • Manage and negotiate with vendors to achieve workspace requirements within budget and in a timely manner
  • Administer and manage services such as courier, printing, reception, maintenance of printers, copiers etc.
  • Disposal and maintain company assets in accordance to company policies
  • Manage outsourced partner for Environmental Services (Housekeeping/ Pest Control/ Linen / Waste Management)
  • Conduct regular inspections and audits on Environmental Services to ensure safe environment, meeting standards as well as identify opportunity of improvements
  • Manage office equipment and its contracts, lease and service agreements etc.
  • Support the implementation of asset enhancement initiatives, renovations works, etc.
  • Support the departments in administrative duties e.g. courier service, stationery orders


  • Minimum 8-10 years of relevant working experience in a similar position
  • Degree in facilities management, building, or equivalent
  • Results oriented personality who thrives working in a dynamic environment
  • Experience in office/facilities management
  • Familiar with workspace design and some BME (Biomedical Engineering) knowledge is preferred though not mandatory
  • Good command of spoken and written English as well as being computer literate
  • Willing to work beyond standard operating hours
  • Team player, meticulous, independent, resourceful and systematic in resolving problems
  • Strong leadership, interpersonal and communications skills
