Job Description

POSITION SUMMARY:

The incumbent is responsible for managing both the Customer Service and Operations departments overseeing operational activities of each team relating to import, export and domestic operations. To plan and ensure operational quality services are provided. And to provide information and advice on operational and customer service matters to relevant business unit to enhance the effectiveness of the organization. He/she will represent on all internal meetings and on Customers call/meeting as required as subject matter expert for Customer Service and Operations.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Ensure productivity of teams is maintained and constantly look for areas of improvement to drive efficiently in each department.
  • Structure , resource properly and develop his/her teams to adhere to company standards at all times
  • Proactively and consistently monitor activities across teams to  shipping and delivery requirements are being met.
  • Develop and maintain an ethos of continuous improvement
  • To assist Business Development in Project management and implementation
  • Support Sales functions by attending meetings with clients and providing operational information as required.
  • Hold daily/weekly/monthly meeting and reporting of the same as required
  • Ongoing intervention and negotiation with airlines endorsed agents to ensure optimal service. 
  • To develop and to maintain SLA with suppliers, contractors and agents (operations).
  • Monitor and review staff Key Performance Indicators (“KPIs”).
  • Conduct performance appraisals for all direct reports.
  • Manager poor performance by training, supervising, feedback and coaching.
  • Ensure cross training and periodic role-rotation of staff.
  • To develop implement and update SOP.
  • Maintain awareness of all temperature controlled and special shipments.
  • Oversee and ensure the smooth passage of shipments through customs and quarantine.
  • Mentor and develop the operations team to ensure that employees are motivated and have the skills to achieve their potential.

SECONDARY DUTIES AND RESPONSIBILITIES:

  • Prepare and issue detailed and accurate monthly reports to Country Manager/Director on Operations issues and development updates.
  • Support Sales functions by attending meetings with clients and providing operational information as required.

REQUIREMENTS:

  • Min Bachelor degree in related field with 5 - 10 years proven experience in Operational management
  • Commercial and Customer focus.
  • Ability to manage and develop relationships and to negotiate at levels of management.
  • Good understanding of Supply Chain Management, including logistics practices, JIT, inventory control systems, ordering systems, information technology etc.
