Job Description

Middle School Grade Secretary (Dover campus)

Dover Middle School Grade Secretaries work collaboratively and harmoniously as a member of the Grade Secretary team. Through their attention to administrative detail and service ethic, the Dover Middle School is seen as one single, functional body by students, parents, teachers, college leadership and the wider community.

Responsibilities

  • Supports administrative operations of the Vice-Principal, Heads of Grade, Mentors and Teachers such as preparing, arranging and compiling information and data required for meetings with staff and students/parents, assisting in organizing major events (i.e. Orientation, Graduation, student conferences) and grade expedition
  • Acts as the first point of contact to parents/guardians on Middle School administrative matters as required (i.e. coordination of student communications to parents/teachers, uniforms coordination, attendance monitoring, testings for transferring students, administration of standard tests)
  • Assists in student related matters such as maintaining student attendance and students’ personal file (digital or otherwise), academic assessment reports, preparing transcripts, letters of certifications and letters/forms, coordination of Grade Surveys, facilitate student ID cards handouts and management of student lockers allocation
  • Performs general administration such as data entry, filing, replenish stationeries and pantry supplies, assembling/booking of venues and meeting rooms and distribution of school publication
  • Works closely with a variety of departments to ensure the smooth-running administrative operations for Middle school (i.e. Learning Support, University Admissions Centre, Facilities, Events etc)
  • Other ad-hoc administrative duties as and when necessary

Qualifications and Skills

  • Must be organised, meticulous with an eye for detail
  • Comfortable working independently and within a team
  • Proactive self-starter with a high degree of flexibility
  • Passionate about working with children with excellent written and spoken English
  • Proficient in Microsoft Word, Excel and Powerpoint, working knowledge of Windows/Mac platform and collaborative software such as google calendar and event planning
  • Quick on the uptake - has the ability to learn new skills and procedures quickly and with ease.
  • Past work experience in an educational institution will be highly advantageous
  • Diploma holder with at least 3 years of secretarial and administrative experience
