Job Description

Manager (Corporate Services)

Reporting to – Executive Director

 

Overview of Responsibilities

 

Job Purpose

The Manager (Corporate Services) is responsible for overseeing and managing the Corporate Services Department, which handles all day-to-day financial, administrative and human resource matters of the organisation, ensuring that all day-to-day processes are observed with the highest standards at all times.

 

Primary Responsibilities

-        Oversee all the financial aspects and day-to-day management of admin operations

-        Monitor, review and implement financial and admin policies and procedures, in compliance with  financial accounting standards and internal control requirements

-        Manage and prepare monthly management accounts and projections and other relevant reports, in consultation with the Audit and Finance Sub-Committee and other departments, for presentation to Management Committee

-        Manage and prepare monthly management reports for submission to BOD for subsidy claims in a timely manner

-        Manage the cash flow and prepare monthly cash flow projections to be presented to the Management Committee

-        Oversee the analysis of departments’ monthly financial performances and implement monthly variance reporting

-        Prepare the annual budget in consultation with the Executive Director and Honorary Treasurer and/or HR and Finance Sub-Committee

-        Oversee evaluation of departments’ operating/development budget requirements;

-        Monitor budget utilization of departments on a monthly basis

-        Manage and maintain all payroll functions to ensure that employees are paid in a timely and accurate manner, in accordance with MOM requirements

-        Ensure that all statutory requirements of the organisation are met including Income Tax, Goods and Services Tax (if any), etc.

-        Prepare all supporting information for the annual audit

-        Oversee and supervise the administrative function of the organisation including reception, property/facility management, safety of the work environment, and provision of furnishings and equipment necessary for effective operations;

-        Oversee the regulation of Human Resource Policies with staff

-        Manage all Human Resource related issues such as staff benefits, compensation, training and development and career progression

-        Liaise with the honorary treasurer and HR and Finance Sub-Committee as appropriate

-        Assist the Chief Executive and Honorary Treasurer with financial reporting as required at Management Committee meeting and the Annual General Meetings;



Other Responsibilities

 As Manager (Corporate Services), you will also be expected to:

-        Assist senior management in preparation of reports to Board of Directors

-        Assist senior management in preparation of annual budget and forecasting of cash flow and profit/loss statement

-        Conduct internal audit of financial processes where necessary

-        Provide training to relevant personnel where necessary

-        Undertake any other duties as directed by your Reporting Officer
