Job Description

  • MANAGEMENT OF IT ASSET, EUCD AND GoMAX

     

    1.            The Contractor shall:

     

    a)            Centrally maintain the lists of the Board's IT asset including equipment that are leased, spare and on loan. The Contractor shall recommend and seek concurrence with the Board on the asset to be captured.

     

    b)            Provide administration and operation support for the End User Computing Devices (EUCD) that includes the Board's portable storage devices

     

    c)            Provide administration and operation support for the Board's Government Mobile Application Access (GoMAX) subscription

     

    2.            The Contractor shall conduct and coordinate review on the portable storage media and 2FA token hardware with Users Accounts team. The Contractor is advised the 2FA token hardware refers to the tokens used for access to SG-VPN.  2FA token hardware for remote access to systems at GDC and PUB are managed by other ATFM teams.

     

    3.            The Contractor shall compile users or custodian information such as department for WOG computers for security incidents investigations when required by the Board.

     

    4.            The Contractor shall manage and track all assets movement including delivery, relocation, loan, servicing, decommissioning, replacement etc.

     

    5.            The Contractor shall coordinate the secure disposal of storage media and work with the various parties such as the Board's departments or users and ATFM teams to collect, record and store the media.

     

    6.            The Contractor shall track the warranty and maintenance period of all assets and alert the Board at least 6 months before expiry to ensure prompt contract renewal. The Contractor shall assist the Board with the maintenance specification and list of hardware by working with the various ATFM teams on the specification.

     

    7.            The Contractor shall establish a mechanism to track and report on hardware connected to the network and software installed instead of physical stocktaking.

     

    8.            Support Hours

     

    The support shall be on-site from Monday to Friday 8am to 6pm.

     

    9.            Personnel Requirement

     

    10.          The personnel shall be competent in the use of Microsoft Office tool.

     

    11.          Desktops Asset Management

     

     

    11.1.      The Contractor shall coordinate the deployment, replacement, upgrade and repairs of hardware and assist the Board to liaise with the service provider(s) or vendor(s) on the equipment delivery, termination, replacement and repairs. The Contractor shall receive and/or return the equipment on behalf of the Board.

     

    11.2.      The Contractor shall work with the AFM Desktop team on the deployment, replacement, upgrade and repairs of the Board's portable storage media.

     

     

    11.3.      The Contractor shall liaise with users to confirm and check on the asset discrepancies identified by Government Central Infrastructure Services service provider during their annual asset checks exercise.

     

    12.          Servers Asset Management

     

     

    12.1.      The Contractor shall document and maintain a list of applications hosted on each individual server.

     

    12.2.      The Contractor shall document and maintain up-to-date information on the hardware configuration and software version. The Contractor shall ensure that the provision of such information is part of the mandatory items under the taking over of support from application vendors or teams.

     

    13.4.      The Board may require the equipment to be labelled. The Contractor shall recommend and seek concurrence with the Board on the equipment and information to be labelled.

     

    13.5.      The Contractor shall on quarterly basis check with the server management team on planned decommissioned items. The Contractor shall document and track the items and report to the Board designated officer(s).

     

    14.          Network Asset Management

     

     

    14.2.      The Board may require the equipment to be labelled. The Contractor shall recommend and seek concurrence with the Board on the equipment and information to be labelled.

     

    14.3.      The Contractor shall on quarterly basis check with the network management team on planned decommissioned items. The Contractor shall document and track the items and report to the Board designated officer(s).

     

    15.          End User Computing Devices (EUCD)

     

    15.1.      The Contractor shall provide administration and operation support that minimally covers:

     

    a)            Creations, modifications or deletions requests for EUCD, peripherals (e.g. tokens), the Board's portable storage media

     

    b)            Software installation/distribution requests

     

     

    15.2.      The Contractor shall assist the Board’s designated officer(s) to:

     

    a)            Perform first level review of requests submitted by users

     

    b)            Prepare and submit requests to Government Central Infrastructure Services service provide(s)

     

    c)            Track and monitor the status of requests to ensure that the request is implemented accordingly

     

    d)            Keep users informed and update on the status of the requests

     

    15.3.      The Contractor shall on monthly basis carry out verification of billing reports for SG-VPN, SG-EP and SG-Mail to ensure that all accounts billed are active accounts

15.4.      GoMAX

GoMAX is a mobile access services that allows subscribers to access selected Government Central Infrastructure Services such as email, contacts, calendar and the Board systems using mobile devices.

The Contractor shall provide administration and operation support that minimally covers:

a)            GoMAX services requests such as creation of accounts, pin code reset, re-provisioning of devices

b)            Firewall requests for GoMAX services

c)            Asset management for GoMAX services
