Job Description

URGENT

Location : Nanyang Dr

Position : Executive (reporting to Assistant Director)

Contract Terms Contract Period  1 year maximum

Salary ranges from $2,800 - $3,200/mth depends on qualification and relevant working experience.

 JOB PURPOSE  

Provide a summarized statement why the job is needed; and how it contributes to the overall mission / objective of the University.

  • Assist the Programme Director and Assistant Director on the administrative and logistic matters of the MSc in Applied Gerontology Programme
  • Provide efficient and effective administration services to students, faculty and prospective students to support the smooth running of the programme

SECTION 3: KEY RESPONSIBILITIES  

List the key responsibilities and accountabilities that must be achieved.

  • Graduate matters
    • Handle course registration
    • Liaise with course coordinators and collation of course outlines, lecture notes and reading materials
    • Attend to enquiries from both students and course instructors
    • Handle student requests such as overloading of courses, Leave of Absence, conversion of candidature and course replacement for practicum
    • Maintain student database and monitor students’ progress
    • Handle Student Feedback for Teaching
    • Provide assistance when students and/or guest lecturers have issues with NTULearn
    • Booking of venues
    • Provide logistics support such as venue set-up for first-time lecturer(s)
  • Financial matters
    • Draft billing invoice for tuition fee
    • Handle internal billing invoice
    • Draft appointment letter/letter of invitation for lecturers/guest lecturers
    • Handle payment request and honorarium to lecturers/guest lecturers
    • Keep track of assets
  • Examination matters
    • Organize and attend Board of Examiners’ meeting
    • Compile meeting minutes
  • Admissions matters
    • Ensure application documents are complete and neatly organised
    • Raw data entry
    • Attend to enquiries
    • Arrange for interviews
  • Maintain contents and information on programme website and social media platforms
    • Ensure information is always updated
    • Edit and upload images and files
    • Enhanced the layout of website
  • Manage and support Information Sessions and Student Orientation, as well as other outreach and internal events
    • Disseminate e-flyers and emails
    • Prepare slides for Information Session
    • Manage participants’ list
    • Provide logistics support including food catering, venue set-up, ushering etc and handle registration process
    • Attend to enquiries
    • Photography
  • Any other duties assigned

SECTION 4: KEY DECISIONS / DIMENSIONS

  • The number of emails sent as follow up or as reply to faculty/prospective students/students enquiries.
  • The accuracy in maintaining and updating of application materials and student database
  • The number of invoices processed/followed up as submitted by lecturers/guest lecturers
  • The number of new graduate students enrolled for each intake
  • The ability to provide effective service to the marketing campaign and student recruitment matters
  • The ability to support the development of effective marketing collaterals

SECTION 5: COMPETENCIES AND QUALIFICATION REQUIREMENTS

List Knowledge, Experience, Skills, Competencies and Qualifications

  • A recognized degree
  • At least 2 years of relevant experience.
  • Experience in working at an Institute of Higher Learning would be an advantage
