Job Description

Executive Admin Support – Up to $2700 @ Boon Lay (Tertiary Institution)

- 3 to 6 months contract

- Up to $2700

- 5 days work week

- Located @ Boon Lay


Job responsibilities                                                                                                                                           

- Provide assistance to the Centre Director in the general administration and the operations for the activities run by the Centre

- Business Administration:

  • Act as point of contact for the Centre. Handle outgoing and incoming correspondences, emails and phone calls
  • Monitoring of office stationery supplies and maintenance of the office
  • Conducting due diligence for procurement, assuring an efficient purchase that balance cost and value
  • Setup meetings with internal and external stakeholders
  • Filing and archiving of documents
  • Assist with travel arrangements


- Website Administrator:

  • Manage and administer CAS website and other related web portals under CAS
  • Review and update web page content or links in a timely manner
  • Publishing articles promptly and delivering weekly newsletter to subscribers
  • Manage online presence by posting weekly newsletter updates, upcoming events, events photograph and relevant news update on website and social media platforms


- Finance:

  • Verify and process all invoices for payment
  • Assist in budget planning for department’s financial year revenue and expenditure
  • Proper filing and accounting of Center’s revenue and expenditure for periodic financial reporting
  • Preparation of invoice and approval letter for reimbursement of grant by Ministry of Trade and Industry (MTI)
  • Proper and timely processing of expenses claim incurred by Centre personnel
  • Processing of payment to adjunct researchers for published articles


- Marketing:

  • Management of marketing collaterals  which include exhibitions, newsletters, catalogues, web contents, annual report, event flyer invites and posters
  • Coordinate internal and external resources and communications in support of the collateral production and publications.


- Event management:

  • Handles and manages planning for confirmed groups and events, including work coordination with external partners
  • Organise seminars, events and workshops with responsibilities for administrative and logistical tasks
  • Monitor and manage events' budgets and timeline
  • Ensuring smooth execution and operations on site during events


- Advisory Board and Exco Meetings

  • Confirm meeting dates/venues with chairman of the Advisory Board and Director of the Centre and follow-up on the agendas with members of the Advisory Board and Exco
  • Prepare meeting minutes and updates to members of Advisory Board and Exco



- 3 to 6 months contract


- $1800 - $2700, depending on the experiences/qualification

Working hours

- Mon – Thurs, 8.30am to 5.45pm & Fri, 8.30am – 5.15pm

Job requirements

- Minimum Qualification: Preferably a Bachelor’s Degree from a recognized University

- Minimum Years of Working Experience: Minimum 3 years of working experience in an administrative role

- Relevant working experience in education sector will be advantageous.

- Competent in Microsoft Excel, Word and PowerPoint

- Good project management skills

- Excellent interpersonal skills

- Excellent command of English Language, both written and spoken.

- Meticulous and attentive to details
