The Post

UWCSEA Dover has a vacancy for an Examinations Secretary from October 2020.

Main Responsibilities

Reporting to the Examinations Officer, the incumbent will provide support in all aspects related to the administration, preparation and execution of the internal and external examinations. The incumbent will manage allocated tasks based on the Exams Office workflow and matter of priority.

Provide secretarial and practical support to the Examinations Officer in relation to the key role:

  • Support in the collation and dissemination of all relevant information and results to staff, students and parents, in line with College and Exam board regulations and deadlines.

  • Support the Examinations Officer in the administration and preparation for all exam sessions according to exam board and UWCSEA examination rules and regulations; Support the Examinations Officer in the management of examination session logistics, including maintaining examination security and management of invigilation teams; Support the Examinations Officer and the Learning Support Coordinator concerning examination access arrangements

  • Ensure all required data entry and upload requirements of examinations boards are completed accurately and in a timely manner.

  • All delegated administration tasks are prioritised and completed with diligence, accuracy and attention to detail.

  • Answer staff, parent and student queries regarding exams and, if required by the Exams Officer, to contact the relevant exam boards. 

  • Communicate with relevant internal departments particularly High School academic departments, Human Resources, Facilities and Finance; Establishes rapport with internal departments particularly High School academic departments, Human Resources, Facilities and Finance;  Builds relationships with the Exams Office on East Campus.

  • Be proactive in managing workload and deadlines.

  • Report to the Examinations Officer any problems with processes and to suggest improvements or solutions. 

  • Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person; Promote and safeguard the welfare of children and young persons you are responsible for or come into contact with.

 

Person Specifications

  • Diploma holder with at least three years' secretarial experience (LCCI equivalent) or relevant experience working in an administration function.

  • Excellent command of the English Language and communication skills in all media and interactions.

  • A collaborative and collegial team player, who is positive, flexible, proactive and solution-focused.

  • Resourceful takes responsibility and is able to work independently.

  • Professional: Possess excellent organizational skills, keen attention to detail, pride in work, follows through quickly and efficiently with all tasks

  • Confident with Google Apps and able to adapt to other required online platforms.

  • Experience and confidence working with spreadsheets would be an advantage.

  • Flexible in working hours. Available for the United Kingdom and International Baccalaureate scheduled examinations (may include occasional evenings and public holidays during the key examination period especially between April and June).
