Job Description

Key Responsibilities

•           Answer service phone calls, inquiries pertaining to services and meter reading issues.

•           Coordinate daily service activities with customer/technicians to resolve issues and complaints.

•           Handle admin duties in service dept. including filing for all documents.

•           Prepare quotation for parts / maintenance contract / Credit Note / Debit note / Letter etc.

•           Consolidate technicians’ claims for submission to HR & Accounts Department for payment.

•           Issue service notifications in SAP system for technician to clear parts.

•           Issue calls for copier servicing, new copier installation, last meter readings, checking of machine condition etc.

•           Update copier serial no., identifier, change of address.

•           Schedule General Service for new copiers when the contract is back and when extension of contract.

•           Enter meter readings (provided by client), check, rectify and upload meter readings before billing.

•           Terminate contract in the system and send reports to Finance to close the billing schedule and invoice.

•           Check RANSS, Open letter, return reports, discrepancies in the system.

•           Mail merge and print General Services reports for Vendors.

•           Check and verify General Service reports & invoices from Vendor before submission.

•           Check Twintech Invoice, reports and scan all the return reports.

•           Termination of contract and enter last meter reading.

•           Create chargeable jobs.

 

Requirements

•           Minimum GCE ‘O’ Level and above.

•           Proficient in Microsoft Office Applications.

•           Knowledge of SAP/ Evatic System is an advantage.

•           Proficient in Excel – Pivotable & V-lookup

•           Independent and able to multi-task.

•           Good interpersonal and communication skills with positive mindset.

•           Prior experience in sales administrative support duties is preferred.

•           Able to work late during month end.
