Job Description

  • 6 Months Contract

Job Descriptions:

Accreditation

  • Perform secretariat duties for Accreditation Committee
  • Prepare materials and coordinate inputs from different stakeholders
  • Provide coordination, liaising and logistic support e.g coordinate meetings, prepare reports etc to ensure the smooth execution of the accreditation visit

Admissions

  • Support and participate in various welcome events for freshmen and answer queries on curriculum, courses, etc.
  • Coordinate and manage the distribution of matriculation cards for freshmen
  • Facilitate Mentor-Mentee assignment

Timetabling

  • Support team in developing semester timetable and option groups (eg. Check for conflicting schedules and verify accuracy of schedule in system etc)

Part Time (P/T) Lecturers

  • Orientate new PT Lecturers to our system and facilities, and assist them in obtaining access

 

Exemption

  • Work with the relevant authorities to review and confirm exemption list prior to the commencement of every AY.
  • Set up platform for exemption request and send invite 2 weeks before semester starts
  • Review exemption requests and notify students of outcome
  • Update exemptions 

 

Dean’s List

  • Work with COE to prepare Dean’s List Award Letters
  • Organise Dean’s List Award Letters Presentation
  • Arrange for collection/mailing of Dean’s list award letters

 

Administration

  • Set up course sites prior to each semester
  • Enroll all instructors, TAs, TEs and set up lecture recording schedule
  • Assist to troubleshoot or redirect issues faced by instructors and students

 

Course Administrations

Prior to semester

  • Compile and disseminate ‘important information’ to instructors e.g. teaching schedule, exam schedule etc
  • Consolidate class attendance lists and for sharing with instructors

 

Ongoing

  • Provide logistic and coordination support to instructors during semester e.g. printing quizzes, posters, sourcing for invigilators etc
  • Facilitate and administer relevant surveys for the courses/curriculum e.g. exit surveys, accreditation surveys
  • Calculator administrator e.g. ensure approval list updated, sufficient stickers, process model approval and filing
  • Ensure UG website content is updated and accurate
  • Maintain proper documentation, archival and updates of UG materials e.g. study plan, syllabus, motherlist etc
  • Provide support to FYP/IRP/OFYP coordinators in logistic and administrative matters
  • Attend to all students’ enquiries for undergraduate matters
  • Administer Leave of Absence (LOA) and Semester Leave of Absence (SLOA) scheme for students
  • Administer withdrawal and change of programme

 

End of semester

  • Share ‘LOA’ data for the semester with instructors
  • Provide support to FYP/IRP coordinator to organize FYP/IRP poster presentations session, including printing posters, set-up panels, facilitate the scheduling of moderators etc.
  • Coordinate with supervisors and moderators to ensure FYP/IRP/OFYP grades are compiled in time for mark entry
  • Organise annual shredding services for UG related materials and SCBE

 

Internship

  • Process internship marks from CAO
  • Address student queries on internship or direct to CAO
  • Act as POC for CAO and OAS

 

Exchange and MOOC

  • Facilitate course-matching approvals
  • Address students’ enquiries exchange relating to curriculum or direct to OGEM
  • Process students’ credit transfer

 

Quarantine / Decentralised/ Online Exam

  • Provide coordination and administrative support for decentralized/quarantine/Online examinations eg. Arrange for invigilators, put together contact list, venue booking and preparation etc

 

Examination

  • Assist in the coordinating and perform scripts checking duties
  • Ensure proper filing of exam/quiz scripts in UG storeroom every semester

 

Others

  • Counter service
  • Staff school/corporate events when necessary e.g Open House
  • Prepare and file various types of reports and statistical information as assigned
  • Perform secretariat duties and organize department meetings/activities
  • Any other ad-hoc duties or projects assigned

 

Period:

  • 6 Months Contract

 

Location:

  • Boon Lay

 

Working Hours:

  • Mon to Thurs:  8.30am to 5.45pm
  • Fri: 8.30am to 5:30pm

 

Salary:

  • $2200 - $2500

  • Minimally a Diploma holder
  • Minimum 1 to 2 years of working experience, preferably in educational industry
  • Good interpersonal skills and is customer centric
