Job Description

  • 6 months Contract
  • Salary up to $2800 nego
  • Tertiary Institution 

Duties and Responsibilities:

1) Admissions

  • Support and participate in various welcome events for freshmen and answer queries on curriculum, courses, etc.
  • Assist students with change of programme or dropping of 2nd major
  • Coordinate and manage the distribution of matriculation cards for freshmen

2) Course administration / timetabling

  • Remind faculty, especially part-time lecturers, of their teaching schedules when semester starts
  • Check and ensure that all students have successfully registered for their required course after the course registration exercise
  • Consolidate class attendance lists and share with teaching faculty
  • Create course(s) and enroll instructor(s) in school syetem and assist to troubleshoot any issues faced by instructors and students
  • Attend to all students’ enquiries for undergraduate matters
  • Administer Leave of Absence (LOA) scheme for students
  • Provide logistic and coordination support to instructors during semester e.g. printing quizzes, posters, set up SFT and mark entry etc.
  • Work with FYP/IRP coordinator to organize FYP/IRP poster presentations session, including printing posters, set-up panels, facilitate the scheduling of moderators etc.
  • Liaise with HRBP on appointment of part-time teaching staff (service agreement) and process his/her payment
  • Maintain up-to-date undergraduate student records
  • Facilitating and administering relevant surveys for the courses/curriculum e.g. exit surveys, accreditation surveys
  • Coordinate OBTL conversion for UG syllabus
  • Provide support in checking timetable to minimise clashes, checking on discrepancies

3) Course registration

  • Provide support to students during registration period e.g. students unable to register for course due to study year
  • Evaluate and process all students requests pertaining to course registration e.g., exemption, overload, timetable clashes etc. and ensure proper updates
  • Assist course registration in the system for students with modules from other schools or students without internet access
  • Maintain waiting list for courses and prioritize students with higher needs
  • Keep good records of all cases processes

4) Examination

  • Liaise with faculty members, undergraduate coordinators of other schools and central administration in the planning of examination schedules and ensuring no clashes and minimize multiple examinations on the same day
  • Consolidate required exam details and materials from key faculty, as well as the availabilities of invigilators for update into the exam invigilation system
  • Consolidate draft exam questions from academic faculty and ensure that exam papers are formulated in compliance to the guideline set by Central Admin with utmost confidentiality
  • Evaluate and process student’s request for restricted repeats and exams clash
  • Facilitate & organize checkers’ duties and verification with instructors
  • Submit confirmed exam grades through the system
  • Collate, and summarize students’ appeals for review of exam results
  • Manage and execute in decentralized/quarantine examinations
  • Support in preparation of materials for Board of Examiners’ Meeting
  • Ensure proper filing of exam/quiz scripts in UG store room every semester
  • Organise annual shredding services for UG related materials and faculty
  • Coordinate and administer the calculators registration process

5) Internship and exchange

  • Facilitate course-matching approvals, revise credit transfer records, process credit transfers for outbound students
  • Coordinate students’ credit transfer process upon return, ensuring that transferred credits are accurately reflected

6) Others

  • Organise sales of lab safety gears
  • Manage rental of student lockers
  • Provide support during accreditation period, including coordinating/preparing meetings and information
  • Identify students with potential difficulties in academics and liaise with mentors and Students Services Unit
  • Prepare, provide, submit and file various types of reports and statistical information to the Associate Chair (Academics) as required
  • Provide projected statistics for the following academic year and up to date forecast figures for upcoming school terms
  • Draft SOPs to improve unit’s efficiency
  • Perform secretariat duties and organize department meetings/activities
  • Any other ad-hoc duties or projects assigned

Duration:

  • 6 months Contract  , subjected to renewal or extension

Salary:

  • $2600 – $2800 nego (depends on skills and experience)

Working hours:

  • Mon to Thurs: 8.30am to 5.45pm
  • Fri: 8.30am to 5.15pm

Location:

  • Boon Lay (Tertiary institution)

Requirements

  • Minimum Diploma
  • Minimum 1 to 2 years of working experience. Those with similar years of experience working in the educational sector will also be considered
