Job Description

  • $3000 - $3600
  • Monday to Thursday: 8.30am – 5.45pm & Friday: 8.30am – 5.15pm

 

Responsibilities:

The incumbent will be required to assist the Director in daily operations and internal and external coordination with key stakeholders of the Centre. He or she will be fully responsible for all matters involving office organization, strategy execution, and external communication.

 

As a new centre and with this as the first and only staff role to begin with, it is critical to ensure efficient administrative operations to start the centre running at an optimal level in order to achieve the objectives of the centre.

 

Key Accountabilities & Responsibilities  

Operational Excellence:

  • Plan, review, propose and execute day-to-day operational activities to ensure quality delivery of services, while ensuring operational processes are well-aligned with the College and University’s policies and guidelines.
  • Coordinating with college and university-level offices for the initial set-up and operations of the Centre
  • Overseeing the progress of research activities
  • Organizing events such as seminars, CEO Roundtables, and Annual Forum
  • Partner with the Centre Director and relevant teams to formulate and strategize operations to support the Centre
  • Scan market places to find tolls and platforms to be adopted into the business operations

Administration and Finance:

  • Managing the annual budget and review of the Centre
  • Hiring and managing office staff, researchers, and other research support
  • Lead in coordinating and organising workshops/conferences (local and overseas)
  • Work on the P&L budget for the Centre
  • Ensure that all finance matters and invoices are given for processing in a timely manner, and that corporate policies are adhered to

Personnel/Relationship Initiatives:

  • Communicating with external stakeholders of government and corporations
  • Coordinating the global research network of fellows and institutions
  • Managing multiple stakeholder groups with effectiveness
  • To be on the look-out to work across and within departments to ensure efficient operational processes are in place

Key Decision/ Dimensions 

  • To follow up on operation matters in timely manner and work with colleagues effectively and collaboratively
  • To weigh/decide/manage the budget of the Centre
  • The incumbent should work towards having at least 1-2 new corporate process implementations that will result in more efficient operations
  • Achieve a positive customer service feedback from various stakeholders.
  • Apply technology to improve key work processes

Salary:

  • $3000 - $3600

 

Working Hours:

  • Monday to Thursday: 8.30am – 5.45pm & Friday: 8.30am – 5.15pm

 

Requirements:

  • Minimum Bachelor’s Degree with at least 4 years’ managerial and leadership experiences of teams and units, across all levels
  • Excellent communication skills with various types of stakeholders involving government agencies, corporate executives, and senior scholars around the world
  • Experiences in multi-cultural settings
  • Understanding of academic research and business operations
  • Working experience in a start-up environment would be preferred
  • Knowledge and application of MS Office suite with a good level of proficiency
  • Ability to interact with people of varying levels and backgrounds
  • Strong organizational and problem-solving skills
  • Ability to multi-task and meticulous to details
  • Ability to discern issues that require attention and escalation for resolution.
  • A pleasant disposition and able to work under tight deadlines
  • Good team-player and also able to work independently
  • Analytical and thorough in his/her thought-process
