Job Description

  • Assist in the expeditious processing of purchase requisitions received from various departments and obtain quotations for comparative purposes from vendors.

  • Handle routine purchasing activities or inquiries from various stakeholders and ensure that goods and services are ordered as specified and made available or delivered on a timely basis.
  • Verifies and ensures that market bids/quotations are regularly updated and that the suppliers’ current price lists are maintained in the Purchasing System.
  • Review, update and maintain proper e-filing/filing of quotations, licences, certifications and tender documents as required.
  • Assist the Director of Purchasing in obtaining/extracting information or data required for joint-purchasing activities with owners/sister properties.
  • Assist the Director of Purchasing in planning and executing vendors’ quality control audits as required.
  • To perform any other tasks or projects as assigned by the Director of Purchasing or Hotel Management.
  • Support the Hotel’s food hygiene, Safety Committee and Green initiatives.
  • Constantly keep abreast of new products, services and processes and consult with Director of Purchasing on feasibility of implementation.
  • Work closely with the Food and Beverage Director as well as Executive Chef or designate for a well-controlled food and beverage cost for the Hotel.
  • Assist in sourcing for quality and/or new products for the Hotel and negotiate with suppliers to achieve best pricing.
  • Train, supervise and motivate receiving employees and ensure that receiving procedures are in strict compliance with the policies and procedures, including hygiene standards as outlined by the Hotel.
  • Work closely with the Director of Food & Beverage and relevant Department Heads to ensure effective stock control of the beverage store. Review and revise par stocks of beverages as necessary.
