Job Description

Job scope of Assistant HR Executive – Industry Training

Baseline Responsibilities

                                          

  1. Perform end-to-end training administration operations including the following (but not limited to):

 

  1. Course registration and enrolments, collate evaluation and other follow ups
  2. Attending to customer’s enquiries and enrolment and other training related requests including over the front desk counter, emails and phone
  3. Perform course funding applications and ensure compliance with all funding requirements
  4. Upload assessment results to relevant system
  5. Updating of course information/data into Training Management system and website
  6. Perform replacement of certificates for customers upon request

 

  1. Perform Administrative functions such as:
    1. Processing of invoices
    2. Processing of payments for trainers, interns, temporary staff, etc
    3. Following up with Finance / relevant internal departments on receipts of course fees etc

 

  1. Perform other office administrative tasks such as:
    1. Administration of visitor pass into company's premises
    2. Despatch of communications / mails to both internal and external parties

 

  1. Maintain/update course administrative information and data in the Training Management System

 

  1. Provide logistics support and arrangement including (but not limited to):
    1. Transportation
    2. Refreshment/ Buffet
    3. Course materials etc

 

  1. Prepare management reports on training operations and activities

 

  1. Any other duties, project and assignment as tasked by course managers

 

Qualifications / Requirements:

  • Detailed and meticulous with strong administrative skills
  • Resourceful and able to work independently as well as a team
  • Good knowledge of Microsoft Office applications including Excel, MS Office Word and PowerPoint
  • Good verbal and communication skills
  • Able to work under pressure and in a fast-paced environment
  • Good interpersonal skills to build and maintain strong working relationships with internal stakeholders and training providers
