Job Description

Responsibilities

  • Perform daily administrative duties, general office administration and housekeeping
  • Handle confidential information and responsible for business related license renewals and communications with vendors, company secretary, authorities, etc.
  • Liase with vendors on the up-keeping of company facilities
  • Provide support to the office as necessary in administrative tasks
  • Provide secretarial support to the senior management
  • Manage and maintain filing of documents, correspondence and contracts
  • Process employee leave applications and maintain leave records
  • Perform basic accounting duties on AR and AP
  • Handle phone system, photocopier, and other office equipment
  • Assist in any ad-hoc duties as and when required

 

Requirements

  • Minimum GCE ‘O’ Levels/LCCI/NITEC
  • Basic accounting knowledge
  • 1-2 years administrative or accounting experience
  • Good communication and interpersonal skills
  • Positive attitude, self-motivated and committed
  • Proficiency in MS Office applications especially Excel
  • Working knowledge of Autocount or similar computerised accounting packages is an advantage

 

Working Hours : 8:30 – 6:00pm (Mon – Fri)

Transport provided from Pioneer MRT

Administrator’s Role:

  • Handling all incoming phone calls
  • Collect mails and distribution
  • Office keys and access cards
  • Purchase of office supplies
  • Upkeep of office equipment/Services/contracts
  • Keep track of Staff movement/ contact list
  • Involve in organizing company events and management meetings
  • General duties such as filing, faxing and copying (Sales contract/Vendors contract)
  • Track and manage insurance, licences
  • Minutes of meeting
  • Maintain and upkeep ISO9001 & ISO14001 documents

HR

  • Manage Attendance daily clock-in data
  • Manage staff leave
  • Involve in preparing and conducting new-hires orientation/Interview
  • Processing visa and work pass application
  • Processing on medical health checks

Accounts

  • Verifying of petty cash claims
  • Handling of cheque receive in Autocount
  • Handling of AR – liaise with supplier/customers on payment matter
  • Mailing SOAs

Sales & Marketing

  • Track and upkeep trademark
  • Preparing of hampers/brochures
  • Attend to telephone and email enquiries
