Position : Academic Officer

Contract Position: 4 months contract


The University Scholars Programme (NTU-USP) leads a University-wide commitment to provide an intellectually stimulating and enriching academic environment for the best students. The programme focuses nurturing creative and reflective global citizens devoted to understanding our ever-changing world.

This position serves primarily to assist the management in ensuring the smooth running of the programme’s curriculum including fieldwork management, admission, finance, student/internship and steer the setting up of alumni association and work closely with alumni. This position will also be providing administrative support to the Director as well as supporting some outreaches activities to promote to the Junior Colleges.

This position will work under the general direction of the Director and Assistant Director.


Curriculum matters:

  • Oversee academic operation matters including timetable planning, course registration, running of courses, transfer of programme requests, venue booking, Learn setup and update, student feedback for teaching, examination and marks entry submission and consolidation, preparation for Board of Examiners meeting and minutes taking
  • Review the submission of proposals on undergraduate curriculum matters
  • Conduct annual survey on course requirements desired by scholars
  • Maintain student database e.g. academic misconduct, examination records and scripts, credit transfer and reclassification, leave of absence, data on enrolment and exchange, etc
  • Monitor students’ progress and deal with challenges and exceptions: Provide due consideration to situations and requests, determine appropriate course of action and if there is any ground for exception and escalate, where necessary
  • Provide guidance, advice and information to students on exchange matters including course matching
  • Oversee the implementation of scholarship and travel grants
  • Review and provide recommendations on exceptional cases
  • Coordinated the preparation of the graduation gifts and certificates for the first graduated batch
  • Liaise with external parties, and manage the logistics for academic activities, for example, Symposium
  • Support class trips to museums, science centre, discovery centre etc
  • Assist in overseas fieldwork logistics including:
  • Liaise with external vendors to manage the logistics aspects (for example, flight, accommodation, insurance, meals, transport, lanyards, meeting rooms, banner, travel booklet, SIM cards etc.)
  • Organize a pre-trip briefing to prepare students for the trip
  • Facilitate risk assessment report writing
  • Support pre and post trip events/ activities such as class activities and post trip exhibition
  • Keep track of timelines for various major deliverables by vendor, faculty and students
  • Ensure all documentations required before the trip are completed
  • Facilitate invoices and reimbursement claims after the trip, keep track of fieldwork budget

Admission matters:

  • Assist in the overseeing of the recruitment and coordinating more than 200 interviews, working with various programme coordinators from CoHASS, CoB, CoE and CoS. 
  • Manage student buddy system involving approcimately 40 scholars and 200 applicants
  • Plan admissions related events such as the admissions tea and the welcome tea
  • Conduct and collate surveys post admissions and welcome tea
  • Manage the logistics requirements for Let’s Talk, Open House and High Tea with President for including briefing of student ambassadors of their roles
  • Handle freshmen orientation events, working closely with student leaders

Finance Matters

  • Assist in tracking department budget
  • Manage the travel grant application
  • Process Business Travel Systems claims


  • Provide secretariat and administrative support to Director in planning, development and implementation of policies and procedures for undergraduate students and programme
  • Arrange meetings, preparing reports, correspondences and meeting minutes, liaising with internal and external counterparts and all other office matters
  • Manage and review the various communication channels, example websites, role-based emails etc.
  • Supervise and guide support staff
  • Manage the overall staff access to system


  • A degree holder with a minimum of 2-3 years of working experience.

Functional Competencies (e.g. knowledge of contract management, data analysis, financial management skills, etc.)

  • Knowledge of undergraduate curriculum in general
  • Good data collection and analysis skills
  • Good excel and powerpoint skills
  • Ability to establish rapport with students
